Job summary

Trinity Health Of New England is seeking a dedicated coordinator for the Lung Screening Program to oversee daily operations, staff workflow, and patient flow across referrals, scheduling, and follow-up imaging.

You will manage the LCSP database, generate statistics, support accreditation, collaborate with Thoracic Surgery, Radiology, Pulmonary and Oncology, and assist in community outreach events; offsite hours may apply. Excellent data entry and communication skills required.

Qualifications

• High school diploma required; associate degree preferred.
• Minimum 3 years of progressive healthcare experience.
• Experience in Pulmonary Medicine, Oncology or Diagnostic Imaging preferred.
• Advanced data entry skills and computer proficiency.
• Strong scheduling and coordination abilities.

Responsibilities

• Guides patients through screening, enrollment and appointment process; coordinates with program staff for scheduling and authorizations.
• Performs program quality assessments, audits, and reviews.
• Develops initiatives to remove barriers to lung cancer screening; standardizes patient scheduling and follow-up imaging.
• Conducts outreach with referring providers to increase program referrals.
• Coordinates information with referral services and keeps LCSP database updated.

You would be responsible for the daily operations, including staff and workflow, for the Lung Cancer Screening Program (LCSP). Supports all aspects of the LCSP database including data extraction and entry, statistical reporting, and enhancements, including participating in community outreach events. Collaborates with Thoracic Surgery, Radiology, Pulmonary, Oncology and other departments to support all efforts related to guiding patients through the screening process, utilizing best practices. Works with referring physician offices and clinics to manage initial referrals through follow-up imaging tests and workup for all suspicious findings.

What You Will Do:

• Guides patients through the screening, enrollment, and appointment process and w orks together with program staff to Schedule appointments and diagnostic studies, obtain prior authorizations and track status of patients in database.

• Performs program Quality assessment checks, audits, and reviews.

• Aids in developing and driving initiatives to eliminate barriers to the lung cancer screening program. Provides assistance and collaboration to establish processes and standards that ensure consistent patient scheduling including follow up diagnostic imaging exams.

• Conducts outreach with potential referring providers and works collaboratively with physician liaisons and related departments to increase referrals to the program.

• Communicates with referring physicians regarding patient appropriateness for program and coordinates information with referral services.

• Distributes patient letters, provides follow-up and confirmation calls and r esponsible for collecting and maintaining patient responses to program surveys. Responsible for maintaining the LCSP database, which includes data entry, patient letters, patient management activities and statistical reporting.

• Responsible for managing the National Lung Cancer Screening Registry including extracting data from operative reports, pathology reports and imaging and manually uploading into the ACR to maintain accreditation standards.

• Prepares weekly program statistics. Provides updates on program activity, statistics, and recommendations for program enhancements.

• Serves as an active member of the Lung Cancer Screening Program Steering committee and as an ad-hoc member to the Thoracic Tumor Board committee. Serves as an ad-hoc member to the Lung Cancer Tumor Board team.

• Ensures all accreditation requirements are adhered to, gathers, and submits required data in a timely fashion.

• Coordinates with Patient Financial Services and the Finance Department as needed. Assists in tracking the financial impact of program. Prepares analytical data as requested.

• Helps plan and organize community outreach events, working collaboratively with THOfNE department such as Community Health and Wellness, Oncology, and other departments. Offsite work and hours may occasionally apply. Assists in the planning of specialized lung cancer and smoking cessation events and programs during key times of the year including lung cancer awareness month.

• Provides cross-coverage to the thoracic surgery clinic and oncology clinic as needed.

Position Hours: Monday - Friday; hours can be flexible around start/end times

Minimum Qualifications:

• Minimally requires a high school diploma or equivalent. Associate’s degree in related field is preferred. Medical Assistant and/or certified tumor registrar (CTR) preferred.

• A minimum of three (3) years of progressive relevant experience in a healthcare environment. Previous experience in Pulmonary Medicine, Oncology or Diagnostic Imaging preferred. Prior experience in scheduling preferred.

• Advanced knowledge of computer systems, Microsoft office-Word, PowerPoint, Excel, etc. Requires exceptional data entry skills.

• Strong organizational and interpersonal skills. Demonstrates attention to detail. Presentation skills required.

• Strong customer service skills required. Excellent communication skills required to interact with all levels of Clinic personnel. Ability to take initiative and work independently with minimum supervision.
