Job summary

RXO is seeking a Logistics Specialist to support order entry, routing, dispatching, and traffic coordination across North America. The role focuses on ensuring on-time, accurate load movement and collaboration with account managers and the billing team.

Responsibilities include load entry from tenders, daily load monitoring, driver coordination, billing pre-audits, and ensuring data integrity for invoicing. A minimum of 1 year in LTL logistics and a high school diploma are preferred.

Qualifications

• 1 year of Less-Than-Truckload logistics experience.
• General knowledge of the transportation industry.
• Experience writing routine reports and correspondence.
• Ability to apply common sense understanding to carry out instructions furnished in written, verbal or diagram form.

Responsibilities

• Enter loads from customer tenders and maintain customer profile information.
• Update account managers on problem loads and actions taken; notify receivers and customers on load status.
• Monitor daily pick-ups and deliveries; verify on-time arrival and load condition.
• Take check calls from drivers; validate load data before marking loads delivered for billing.
• Investigate overages, shortages, damages and complete related documentation.
• Schedule and reschedule delivery appointments; accept/decline loads per manager directions.
• Perform billing pre-audits to ensure invoices match quoted rates; obtain supporting documents when needed.
• Coordinate with billing to resolve disputes and notify sales/customer when changes occur.
• Maintain the team distribution list and ensure requests are handled within deadlines.

What your day-to-day will look like:

• Maintain customer profile information and enter loads from customer tenders
• Update account managers on problem loads and what actions have been taken, update receivers and customers on status of loads
• Monitor daily pick-ups and deliveries; verify that loads have arrived on time and in good condition
• Take check calls from drivers, ensuring that loads will deliver on time; validate all load data prior to marking loads delivered, for accounting purposes
• Investigate product overages, shortages, damages, and complete appropriate documentation
• Schedule and reschedule delivery appointments for all loads; accept or decline loads based on direction from account managers
• Perform billing pre-audits to confirm the customer & carrier final invoices match the originally quoted rate. If it does not, obtain supporting documents from customers and file a dispute with a carrier.
• Work closely with the billing department to ensure disputes are handled appropriately and that the customer and sales rep is notified of any changes to their billing.
• Maintain the team distribution list. Ensure every request is handled within the allotted time limit.

At a minimum, you'll need:

• 1 year of Less-Than-Truckload logistics experience
