Job summary

Yale NewHaven Health, Bridgeport Hospital, is seeking a supervisory professional to lead the Materials Services staff. The role focuses on directing workflow, coordinating service requests, and maintaining tube system operations to support patient care.

Directs the daily workflow and staff of an assigned section within the department of Material Services, ensuring staff productivity, timely delivery of services, and accurate records of services. Updates inventories and repairs tube system components using CRT accesses, all in support of patient care. Facility specific tasks will be listed in the standard operating procedures and guidelines.

Responsibilities
  • 1.Directs workflow and staff of assigned area to ensure the efficiency and productivity of the department.
    • 1.1Monitors workflow of assigned staff in all section of the department of Materials Services as assigned by shift supervisor.
  • 2.Performs staff assignments during heavy work periods, short staffing situations or as requested by shift supervisor.
  • 3.Accepts call from user/customer groups, responding to complaints or requests for special services.
    • 3.1Accepts complaint calls from user/customer groups and corrects problems relating to services provided, notifying shift supervisor of each complaint.
  • 4.Performs temporary shift supervisor responsibilities in the absence of the shift supervisor.
    • 4.1Performs shift supervisor duties for temporary periods including periods of shift supervisor sick/vacation time or as requested for specific periods of time as determined by the shift supervisor.
  • 5.Completes special projects as requested by shift supervisor.
    • 5.1Initiates and completes special projects, relating to staff work, completion time studies or job enhancements, customer requested special services, system work, i.e., tube system or other departmental related activities as requested by shift supervisor.
  • 6.Receives service requests from hospital departments through the CCSS information system, assigns work received, and completes orders on the CCSS system under the direction of the shift supervisor, when applicable.
    • 6.1Receives requests for service from the CCSS system printer, reviews information received for accuracy and assigns service requests to appropriate transport staff, as observed by shift supervisor.
  • 7.Monitors Translogic Computer Tube System assuring normal operation and accesses system through CRT following computer prompts to repair and adjusts system through the diagnostic function as required or needed, when applicable.
    • 7.1Monitors Translogic Computer Tube System assuring that all system hardware components are functioning properly and that the system program is moving tubes for all zones efficiently.
  • 8.Accesses Global Inventory System for the purpose Maintaining Back Up System and Exchange Cart System par levels and creates post charges to reconcile Back Up System issuance.
    • 8.1Assists the shift supervisor in supporting staff assignments for the SPD exchange cart system as requested by shift supervisor.
  • 9.Assists the SPD Manager in maintaining a safe and clean environment in the SPD Center, when applicable.
    • 9.1Monitors employee activity to ensure the safe operation of Materials Center equipment such as forklifts, pallet movers, etc., as observed by the SPD Manager.
Qualifications
EDUCATION

High school graduate with courses completed in supervisory management, or supply and distribution management.

EXPERIENCE

Two (2) years minimum actively working in lead/supervisory position or related position with a minimum of six (6) direct reporting staff.This position includes or may include operating a motor vehicle intrastate, with GVWR of 18,001 lbs. or more. In this position you must be, at all times, compliant with all relevant Department of Transportation regulations. Compliance requires completion of, and provision of documentation including:Successful passing of Road Test, as directed by YNHHS, in accordance to and compliance with DOT regulation.YNHHS will provide the testing opportunity. If a Commercial Driver's License (CDL) is held by applicant and current, YNHHS Road Test is not necessary.Current and valid driver?s license (Must be at least 21 years old with no active suspensions)Current and valid Medical Examiner's Certificate, issued by a practitioner on the Federal Motor Carrier Safety Administration (FMCSA) National Registry.If you have a physical impairment including hearing loss that affects your ability to operate a Commercial Motor Vehicle safely, you must obtain a Skill Performance Evaluation (SPE) certificate. The SPE Certificate is obtainable through application with YNHHS to the Division Administrator of the FMCSA.Be willing, upon hire, to provide requested documentation, including:Annual Driver's Certification of Violations form (honestly completed & signed).Medical Examiner's Certification Documentation, including but not limited to Medical Examiner's Certificate, may need to be updated frequently. The Driver's Certification of Violation's form must be completed every 12 months throughout employment.Applicant agrees with updating as often as required for organization to meet compliance.YNHHS will review Motor Vehicle Report, reflect your documented driving experience and any violations. YNHHS must be in agreement that your record reflects acceptable driving competency.

SPECIAL SKILLS

Ability to perform routine computer access functions and data entering, operate material handling equipment, supervise large and diverse staff, and complete projects relating to distribution of supplies and staff and from written or verbal instructions.Fundamental skills in planning, organizing, directing, and controlling the activities of a work force. Good communication skills. Must possess basic math skills.

PHYSICAL DEMAND

Requires lifting up to 50 lbs. Pushing heavy rack trucks loaded with supplies. Perform job responsibilities in a confined supply room and working to OSHA standards.
