Job summary

All Hands and Hearts Smart Response, Inc. is seeking a full-time Field Logistics Coordinator to manage field logistics, update databases, schedule daily field coordination, and conduct site damage assessments. The role acts as liaison between homeowners, field teams and office staff to ensure smooth workflow and ready sites.

This short-term position concludes on November 7th. Strong data management and coordinating skills are essential in a fast-paced post-disaster environment.

Qualifications

• High school diploma or equivalent required.
• 6+ months leading teams in a post-disaster or similar setting.
• Experience with NGOs, All Hands and Hearts, AmeriCorps or disaster response teams preferred.
• Familiar with Salesforce and Google Workspace; strong organization and delegation skills.

Responsibilities

• Schedule volunteers and groups to maintain workflow across project sites.
• Manage data entry and analysis of sites completed and in progress.
• Maintain Salesforce database and ensure data quality input, collection and auditing.
• Enter and maintain the Crisis Cleanup database for homeowners and volunteers.
• Assist the PM to generate and maintain a work queue to maximize volunteers in the field.
• Support the OM and PM in field needs, sourcing materials and vendor relationships.
• Serve as Point of Contact for homeowners to ask for assistance and updates.
• Conduct damage assessor training and site assessments as needed.
• Collect and analyze beneficiary feedback to improve operations.
• Perform other duties as required.

Position Purpose

A versatile position within a dynamic nonprofit that helps communities recover after disasters and gets children back in school. The position is full time and is responsible for managing field logistics, updating our database with homeowner and assessment data, scheduling daily work coordination with the field team, and conducting site damage assessments. The LC also acts as a liaison between homeowners, field teams, and office staff to maintain a smooth workflow and ensure sites are ready for work.

This is a short term position that will end November 7th.

Essential Functions

• Working with staff; schedules volunteers and groups to maintain consistent workflow across all project sites
• Manages data entry and analysis of sites completed and in progress to implement improvements on the program
• Maintain the Salesforce database & quality data input, collection, and auditing
• Enter and maintain the Crisis Cleanup database for homeowners we interact with and support volunteers assisting with this
• Assist the PM as needed to generate & maintain a work queue to accommodate the maximum number of volunteers in the field
• Support the OM and PM in field needs, sourcing materials, building vendor relationships as needed, and keeping track of base and program assets.
• Act as Point of Contact for homeowners to ask for assistance, schedule assessments, and get updates on their cases
• Conduct damage assessor training and conduct site assessments as needed
• Collect and analyze beneficiary feedback to improve overall operations for the program
• Perform other duties as required.

Position Requirements

• Education High school diploma or equivalent required.
• Related Experience 6+ months in leading teams in a post-disaster or similar setting. Experience conducting needs assessments preferred. Experience in working with NGOs, All Hands and Hearts, Americorps, Disaster Assessment and Response Teams, or similar settings preferred. Familiarity with chainsaw, mucking & gutting, mold sanitation, tarping operations, and materials & administrative a plus.
• Special Competencies/Certifications Good written and oral communication skills and confidence working with Salesforce and Google Workspace, particularly Google Docs and Google Sheets; and Microsoft Office. Applicants need to be well organized and have a flexible approach to managing multiple tasks, prioritizing them appropriately, and outstanding delegation skills. The individual is able to manage a large workload and perform in a fast-paced environment.

Working Conditions and Physical Demands

• Constantly works in outdoor adverse weather conditions
• Frequently moves items weighing up to 40 lbs on work site or on base
• Frequently operates construction equipment (table saws, impact drivers, drills, chainsaws))

• Must be able to remain in a stationary position

• High stress situations in an immediate post-disaster environment with limited amenities

Compensation & Benefits

• Pay rate is $15 - $15.25 USD / hour, and up to $15.50/hour for highly qualified candidates who have previous experience in this role.
