Job summary

Valley Queen in Milbank, SD, is seeking a Transportation Operations Coordinator to coordinate daily milk pickup schedules and dispatch haulers for plant operations. You will monitor route execution, adjust plans for weather or capacity, and serve as the main contact for drivers, supervisors, and producers.

Qualifications

Responsibilities

  • Coordinate daily milk pickup schedules to ensure reliable milk supply to plant operations.
  • Schedule and dispatch company and third-party milk haulers based on volumes and route requirements.
  • Monitor daily route execution and adjust schedules for weather, equipment issues, or capacity constraints.
  • Serve as the primary contact for drivers, supervisors, and producers regarding schedules and issues.
  • Coordinate PTO scheduling and coverage; handle emergency hauling responses.
  • Coordinate preventive maintenance and repairs for tractors, trailers, tankers, and other equipment.
  • Track fleet maintenance, regulatory inspections, and service records to ensure compliance.
  • Monitor fleet utilization and transportation performance metrics; communicate impacts to operations.
  • Support regulatory compliance by monitoring Hours of Service and documentation.
  • Analyze transportation data and recommend improvements for safety and efficiency.

Position Summary

This position is responsible for coordinating daily transportation operations to ensure the efficient and reliable movement of milk from producers to Valley Queen's processing facilities. This position manages milk pickup scheduling, dispatch activities, and fleet maintenance coordination, while serving as a key communication link between drivers, supervisors, producers, and operation teams. This position monitors transportation performance, equipment availability, regulatory requirements and maximizes fleet utilization to support safe, efficient, and cost-effective transportation operations while maintaining uninterrupted service to plant operations.

Essential Functions
  • Coordinate daily milk pickup schedules to ensure a reliable and efficient milk supply to plant operations.
  • Schedule and dispatch company and third-party milk haulers based on milk volumes, route requirements, and operational needs.
  • Monitor daily route execution and adjust schedules as needed in response to weather, equipment issues, producer needs, road conditions, or plant capacity constraints.
  • Serve as the primary point of contact for drivers, supervisors, and producers regarding transportation schedules, service issues, and operational changes.
  • Coordinate PTO scheduling and coverage.
  • Coordinate emergency hauling coverage and transportation response during operational disruptions.
  • Schedule and coordinate preventive maintenance, inspections, and repairs for tractors, trailers, tankers, and other transportation equipment.
  • Track fleet maintenance intervals, regulatory inspection requirements, and equipment service records to ensure compliance and equipment reliability.
  • Monitor fleet availability, vehicle utilization, telematics data, and transportation performance metrics, communicating impacts to operations as needed.
  • Support regulatory compliance by monitoring Hours of Service requirements, maintaining transportation documentation, and ensuring scheduling accuracy within workforce management systems.

Supervisory Responsibility

This position has no supervisory responsibility.

Work Environment

This position is mainly in an office/intake environment. Occasionally will need to fill in and work would be performed in outside weather conditions including extreme heat and cold.

Physical Demands

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently will need to sit, stand, or walk. The employee may need to lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.

Position Type/Expected Hours of Work

This is a full-time position. Hours of work are generally 8:00 a.m. - 5:00 p.m., Monday through Friday.

Travel

Minimal travel is required.

Required Education, Experience and Certifications

High school diploma or GED is required for this position. Minimum of 2 years of experience in transportation, logistics, dispatching, fleet coordination, supply chain operations, or a related field. Experience coordinating schedules, routes, equipment, or transportation resources in a fast-paced environment. Strong computer skills, including Microsoft Office applications and transportation or scheduling software. Ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.

Preferred Education, Experience and Certifications

Associate's degree in Logistics, Supply Chain Management, Business, Agriculture, or a related field. Experience in milk transportation, fleet operations, or trucking dispatch. Experience working with telematics, GPS tracking, fleet maintenance systems, or transportation management software. Knowledge of DOT regulations, Hours of Service requirements, and transportation compliance practices. CDL-A with Tanker Endorsement and valid health certificate. Bilingual in English/Spanish.
