Job Summary:

The Logistics Coordinator provides administrative and operational support for Inland's shipping and logistics activities. This position coordinates the administrative flow of inbound and outbound shipments, maintains accurate shipping documentation and system records, communicates with carriers and internal departments, and assists in resolving routine transportation and delivery issues.

The Logistics Coordinator serves as a central point of communication between Logistics/SRW, Production, Scheduling, Sales/Account Management, carriers and other stakeholders to help ensure customer shipments are processed accurately and delivered on time. The Logistics Coordinator supports the daily execution of logistics processes and escalates significant service, cost, compliance or operational issues to the Logistics and Warehouse Manager.

Shipping and Logistics Administration:
  • Coordinates daily outbound shipment requirements with internal departments, carriers and logistics providers.
  • Schedules carrier pickups and assists with coordinating inbound deliveries as required.
  • Processes shipments within appropriate shipping, ERP and carrier systems.
  • Prepares and maintains shipping documentation, including bills of lading, packing slips, shipping labels and other required records. Ensures required documentation is complete and accurate before shipments are released.
  • Assists with preparation and verification of documentation for international shipments.
  • Obtains freight quotes and provides transportation cost and service information to appropriate internal stakeholders.
  • Assists with carrier selection and shipment routing within established procedures and guidelines.
  • Maintains organized electronic and/or physical shipping records in accordance with company procedures and audit requirements.
  • Verifies skids are properly tagged with job number, description of product and number of skids being shipped.
  • Processes shipments using Federal Express and UPS software.
  • Assists in ordering and maintaining essential supplies.
  • Coordinates interoffice mail to various pick up and drop off locations.
  • As needed, lifts cartons/boxes of various sizes, operates lift truck or hand-jack to move material or final product.
Shipment Tracking & Communication:
  • Tracks outbound freight and communicates shipment and delivery status to internal stakeholders. Proactively communicates delays, changes or shipment concerns to affected departments.
  • Monitors shipments for delays, exceptions or other service issues.
  • Coordinates expedited shipments and other delivery exceptions as directed.
  • Serves as an administrative point of contact for routine shipping and transportation questions.
Data Administration:
  • Accurately enters and maintains shipping and logistics information within Inland's ERP and other applicable systems.
  • Reviews shipping information for completeness and accuracy and corrects discrepancies when identified.
  • Maintains accurate carrier, shipment, tracking and delivery records.
  • Assists with data cleanup and record maintenance necessary to support accurate operational reporting.
  • Supports month-end and other periodic logistics reporting as required.
  • Compiles information and reports related to freight costs, shipment volumes, carrier performance, delivery performance and other logistics measures as requested.
  • Supports implementation of process, technology and system improvements within Logistics and SRW.

  • High school diploma or equivalent.

  • Strong computer skills, including proficiency with Microsoft Outlook, Excel and Word.
  • Ability to learn and effectively use ERP, shipping and carrier-management systems.

  • Strong written and verbal communication skills.
  • Ability to communicate professionally with employees, carriers, vendors and internal customers.

Nonessential skills and experience:
  • Associates degree or Bachelor’s degree in Business, Business Administration, Supply Chain, Finance or related field.
  • Operates in a demanding, fast-paced, people-oriented manufacturing environment with frequent changes and interruptions, and multiple project assignments
  • Works with a variety of people including vendors, customers, regulatory agencies, employees, team members, and managers
Required Work Schedule:
  • Typically works a regular full-time schedule aligned with shipping and operational requirements.
  • Schedule flexibility may occasionally be required to support shipment deadlines, carrier schedules or other business needs.
  • Overtime may be required based on business needs
Physical Requirements:
  • Position is primarily administrative and generally sedentary.
  • Must be able to safely navigate warehouse and manufacturing environments.
  • Occasional light physical activity may be required.
