Job summary

Berklee College of Music is seeking an Event Planning Assistant/Loft Engineer for student employment in Boston. The role supports Conference Services and Events, handling room bookings, equipment, and live sound for Loft concerts.

The position requires current enrollment, a minimum 2.0 GPA, and flexibility to work day and evening events. Hourly rate is competitive and commensurate with duties and responsibilities.

Qualifications

  • Must be a current Berklee student or Boston Conservatory student.
  • Enrolled at least half-time in a degree, diploma, or certificate program.
  • SSN and valid US work status (as applicable).
  • Maintain good disciplinary standing and GPA requirements.

Responsibilities

  • Answer phones, emails, file, photocopy, and run errands.
  • Reserve conference rooms using the college's event management software.
  • Set up, supervise, break down, and inventory concert equipment.
  • Meet with artists/managers to plan Loft concerts and events.
  • Provide sound engineering for Loft concerts; run checks and live mixes.
  • Support conference room tech and other equipment as needed.
  • Be available during business hours and evenings for Loft shows.
  • Assist with event coverage at gala and commencement events.

Job description

In order to participate in Berklee Student Employment, a student must fulfill the following requirements:

  • Current student at Berklee College of Music or Boston Conservatory at Berklee.
  • Enrolled at least half-time in a degree, diploma, or certificate-seeking undergraduate or graduate program.
  • Summer is the only semester in which a student can maintain employment without being enrolled. In this case, the student must be pre-registered for the upcoming fall semester.
  • This exception does not apply to fall or spring semesters.
  • Have a valid United States Social Security Number (SSN).
  • Remain in “valid” Visa status as applicable.
  • A minimum 2.0 cumulative GPA.
  • Students in their first semester can work, even though they do not have an official GPA until the completion of their first semester.
  • Federal Work Study student may apply.
  • In good disciplinary standing.
  • Must be located in the U.S.

The purpose of this position is to assist Conference Services and Events with preparation for the various meetings and events at the college as well as to be the main contact for booking the conference rooms we manage. In addition to working in the Conference Services and Events office as an Event Planning Assistant, Loft Engineers work in booking, equipment managing, and sound engineering for concerts and events in the Loft.

Essential Duties and Responsibilities
  • Basic office assistant/receptionist work such as answering phones, emails, filing, photocopying, and running errands
  • Reserving conference rooms at the college for staff and faculty using our event management software
  • Setting up, supervising, breaking down, and inventorying concert equipment (including amps, PAs, mixers, microphones, keyboards, cables, etc.)
  • Meeting with artists/managers to plan, produce, and engineer Loft concerts
  • Sound engineering 1-2 student and faculty Loft concerts per week (depending on Loft busyness): setting up and breaking down all equipment, running sound checks, live mixing performances, improvising technical solutions/workarounds, supervising the show overall
  • Providing technical support and assistance with concert equipment and conference room technology
  • Availability both during business hours (office work, meeting with artists) and evenings(working Loft shows)
Additional Duties and Responsibilities
  • Assisting with event coverage at high-profile events, during which, duties may include greeting guests, working the check-in table, and assisting with last minute details.
  • Event Planning Assistants are expected to work the annual Gala and Commencement events in October and May, respectively, so some after-hours work at events is necessary.

Preferred Skills
  • Experience in an administrative or office setting
  • Live sound mixing and live show production
  • Mixing and recording music of various genres (i.e. pop, rock, indie, jazz, classical, musical theater, etc.)
  • Proficiency with recording techniques and software in a live setting (including micing techniques, hardware/software I/O routing and bussing, live outboard effects, etc.)
  • Familiarity with concert production planning processes

Hourly Rate: $17.51
