Job summary

Hamilton County Developmental Disabilities Services is seeking a Local Funding Administrator to oversee locally funded services, process funding requests, and maintain PAS and related records, ensuring accurate authorizations and contract actions.

The role supports staff, providers, and families, reviews utilization, and helps implement funding policies, contracts, and reporting while maintaining compliance and service quality in a hybrid Cincinnati environment.

  • Ability to travel within Hamilton County as needed.

Responsibilities

  • Administers locally funded services by processing funding requests, reviewing eligibility and available resources, and applying established funding policies, guidelines, and procedures.
  • Prepares, enters, and maintains Payment Authorizations for Services (PAS) and related funding information in tracking systems.
  • Processes required approvals for locally funded programs, including Family Support Services (FSS), and reviews authorizations throughout the service period to ensure information remains accurate and current.
  • Assists with the administration of contracts for locally funded services by preparing documents, gathering required information and approvals, supporting renewals, and maintaining contract records.
  • Provides administrative support and information to staff, providers, and families regarding local funding, authorization requirements, program guidelines, and established procedures.
  • Assists with addressing funding questions and authorization issues by reviewing information, providing guidance on established processes, and referring matters as appropriate.
  • Reviews funding and authorization activity to identify discrepancies, changes in utilization, or other items requiring follow-up and assists with maintaining appropriate funding levels.
  • Maintains accurate funding, authorization, and program records to support reporting, documentation, fiscal accountability, and day-to-day program administration.
  • Assists with maintaining standardized administrative procedures, improving workflow processes, supporting system updates, and ensuring consistent documentation practices.
  • Provides administrative support for payment processing, documentation review, contract activities, and other Business Services functions as assigned.
  • Participates in cross-training on Local Funding Specialist responsibilities to provide administrative coverage and continuity during staff absences, increased workloads, departmental transitions, and implementation of new local funding initiatives.
  • Performs additional duties as assigned.

Competitive Pay

  • Starting salary is based on experience: $26.00/hr. ($49,000/yr) with no experience, up to $32.50/hr. ($61,200/yr) with 10+ years in the same role

Local Funding Administrator

A typical day in the Local Funding Administrator includes helping connect individuals and families to the supports they need by overseeing the administration of the agency's locally funded programs. Your day may include reviewing funding requests, creating service authorizations, collaborating with staff, answering questions from providers and families, and coordinating approvals to ensure services can begin without delay. You'll also monitor funding utilization, support implementation of provider contracts, maintain accurate records in agency systems, and identify opportunities to improve processes. This role combines analytical thinking, customer service, and collaboration to ensure public resources are managed responsibly while helping individuals access meaningful community supports.
