JOB SUMMARY:
The Final Docs Specialist is responsible for ensuring all real estate collateral documentation is complete and properly perfected to maintain the Bank’s intended lien position. This position reviews final loan documentation for accuracy, completeness, and compliance; identifies and facilitates the resolution of documentation exceptions; maintains collateral tracking information; and works with title agents, recording offices, and internal departments to obtain and finalize required documentation.
ESSENTIAL JOB DUTIES:
- Ensures all real estate collateral is properly perfected and the Bank maintains the appropriate lien position.
- Establishes, maintains, and updates collateral and final document tracking information.
- Performs quality control reviews of final loan and collateral documentation to ensure accuracy, completeness, and proper execution.
- Identifies documentation deficiencies or exceptions and facilitates timely correction and resolution.
- Reviews final documentation for compliance with applicable investor requirements.
- Monitors outstanding final documents and follows up as necessary to ensure required documentation is received and completed.
- Scans and indexes final documentation into the Bank’s core system in accordance with established procedures.
- Communicates with title agents, recording offices, and other applicable third parties regarding recorded documents, lien perfection, documentation exceptions, and other final document requirements.
- Performs departmental duties as needed to maintain adequate workflow and support timely completion of departmental responsibilities.
- Answers the Corporate Office main telephone line and directs calls to the appropriate individual or area.
- Maintains accurate and organized records in accordance with Bank policies and established procedures.
- Performs other tasks, functions, and special projects as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Strong attention to detail and accuracy.
- Ability to review legal and loan-related documentation and identify missing, incomplete, or inconsistent information.
- Strong organizational and follow-up skills with the ability to manage multiple outstanding items and deadlines.
- Effective written and verbal communication skills.
- Ability to communicate professionally with title companies, recording offices, internal employees, and other third parties.
- Ability to work independently while contributing to overall departmental workflow.
- Ability to maintain confidentiality and appropriately handle sensitive customer and Bank information.
- Basic computer proficiency and ability to learn and effectively utilize Bank systems and document imaging software.
QUALIFICATIONS:
- High school diploma or equivalent required.
- Previous banking, lending, loan documentation, title, real estate, or related experience preferred.
- Experience reviewing real estate or collateral documentation is preferred.
WORKING ENVIRONMENT AND PHYSICAL DEMANDS:
- Work is primarily performed in a professional office environment.
- Regularly required to sit for extended periods while reviewing documents and working at a computer.
- Frequently required to use hands and fingers to operate a computer, telephone, scanner, and other standard office equipment.
- Regularly required to communicate effectively in person, by telephone, and electronically.
- Requires the ability to visually review detailed loan and collateral documentation for accuracy and completeness.
- Occasionally required to stand, walk, bend, reach, or move throughout the work area.
- May occasionally lift or move files, documents, supplies, or other materials, weighing up to 20 pounds.
- Requires the ability to maintain focus and accuracy while performing detailed and repetitive document review.
- Regular and reliable attendance is required.
- Work is generally performed during normal business hours, with additional hours occasionally required based on workload and business needs.
- Occasional travel between Bank locations may be required.
