Job summary

Snell & Wilmer L.L.P. in Washington, DC seeks a Litigation Legal Administrative Assistant to support attorneys across litigation, intellectual property, and corporate matters.

This role provides administrative and litigation support, including calendar management, travel coordination, filing pleadings, document preparation and client coordination. It requires professional judgment, discretion, and strong organizational skills, with a Monday–Friday schedule.

Qualifications

  • At least 3 years of experience as a legal administrative assistant or in a similar role.
  • Litigation support experience including document preparation, court filings, and deadline management.
  • Familiarity with federal and local court procedures and electronic filing.
  • Experience with PACER/ECF and other court filing platforms.
  • Intellectual property experience is a plus but not required; willingness to learn is essential.
  • Strong proficiency with Microsoft Office and document management systems.

Legal Administrative Assistant – Litigation, Intellectual Property, and Corporate Details:

Put your administrative and organizational skills to work at Snell & Wilmer, one of the largest and most prestigious law firms in the Western United States. We currently have an opening for a Legal Administrative Assistant in our Washington, D.C. office.

This position provides high-level administrative support to attorneys across multiple practice areas. The role will primarily support litigation matters, while also assisting attorneys in the Intellectual Property Practice Group and providing administrative support for certain corporate and transactional matters.

The ideal candidate will have a strong litigation background and an interest in learning and developing experience in intellectual property. Previous IP experience is welcomed but is not required. This opportunity is well suited for a versatile, mid-level Legal Administrative Assistant who enjoys varied assignments, is comfortable supporting attorneys in more than one practice group, and is eager to broaden their legal knowledge and skills.

The hours areMonday through Friday from 8:30 a.m. to 5:00 p.m.in the office.

Responsibilities will include, but are not limited to the following:

  • Administrative and Practice Support
    • Provide administrative support to attorneys working in litigation, intellectual property, and corporate matters.
    • Manage attorneys’ calendars, including scheduling meetings, court appearances, depositions, conference calls, and other appointments.
    • Coordinate travel arrangements and prepare itineraries and expense reports.
    • Prepare, revise, proofread, and format correspondence, reports, presentations, and legal documents.
    • Organize and maintain electronic and physical files in accordance with firm procedures.
    • Coordinate with clients, opposing counsel, courts, vendors, witnesses, and other internal and external parties.
    • Assist with time entry, billing-related tasks, new‑matter intake, and other administrative processes.
    • Manage assignments from multiple attorneys and practice groups while maintaining accuracy, responsiveness, and attention to deadlines.
  • Litigation Support
    • Prepare, revise, format, and finalize pleadings, motions, discovery materials, briefs, exhibits, and other litigation documents.
    • File documents electronically in federal and local courts and, as applicable, before administrative agencies and tribunals.
    • Maintain litigation calendars and track court deadlines, discovery deadlines, hearings, depositions, and trial dates.
    • Organize and maintain case files, discovery materials, exhibits, and other case-related documentation.Assist attorneys with deposition, hearing, and trial preparation, including coordinating logistics and preparing materials.
    • Review documents for compliance with applicable court rules, filing requirements, and firm standards.
  • Intellectual Property Support
    • Assist attorneys with administrative and document-related needs involving intellectual property matters.
    • Learn the procedures, terminology, and documentation associated with the Intellectual Property Practice Group.
    • Assist with maintaining IP-related files, correspondence, deadlines, and matter information.
    • Coordinate with attorneys, clients, internal departments, and outside service providers regarding IP-related matters.
    • Develop proficiency in applicable IP processes and systems through training and hands‑on experience.
    • Provide additional support to the Intellectual Property Practice Group as knowledge and experience develop.
  • Corporate and Transactional Support
    • Prepare, revise, format, and proofread corporate and transactional documents, correspondence, agreements, and closing materials.
    • Assist with entity formation, maintenance, and corporate governance documents.
    • Coordinate signature pages, document execution, and circulation of transaction documents.
    • Assist with organizing due diligence materials, closing checklists, and electronic closing binders.
    • Maintain corporate records and help track transactional deadlines and outstanding items.
    • Communicate with clients and transaction participants to coordinate documents, signatures, and closing‑related activities.

Experience and Qualifications:

  • At least 3 years of experience as a legal administrative assistant, or in a similar administrative role within a law firm environment.
  • Litigation support experience, including document preparation, court filings, and deadline management, is required.
  • Familiarity with federal and local court procedures and electronic filing systems.
  • Experience with PACER/ECF and other court filing platforms.
  • Intellectual property experience is a plus but not required; a demonstrated interest in learning the practice area is essential.
  • Corporate or transactional support experience is preferred, not required.
  • Knowledge of legal terminology, document formatting, proofreading, and filing procedures.
  • Strong proficiency in Microsoft Office applications, including Word, Outlook, Excel, and PowerPoint, as well as experience using document management systems.
  • Exceptional proofreading and editing skills, with close attention to detail and document consistency.
  • Ability to work independently and collaboratively while supporting multiple attorneys across different practice groups.
  • Strong organizational and time‑management skills, including the ability to prioritize competing assignments and meet deadlines.
  • Excellent written and verbal communication skills.
  • Flexibility, initiative, and a service‑oriented approach.
  • Professional judgment and the ability to handle confidential and sensitive information with discretion.

The salary range for this position is $42.00 to $48.00 an hour, based on years of experience.
