  • Experience with CourtAlert or similar docketing/calendar software (eDockets, CompuLaw).
  • Experience handling large volumes of PDFs and converting them to court-compliant formats.
  • Strong attention to detail and ability to meet deadlines in fast-paced environment.

Job description

Haynes and Boone, LLP is seeking a full-time Litigation Docket Clerk to join the Managing Clerk's Office in the firm’s Dallas office. This role is responsible for entering court documents into the Firm's docketing database, CourtAlert, handling electronic and in-person court filings, tracking case deadlines and upcoming appearances, and providing guidance on court procedures, as well as general administrative and operational tasks related to litigation support. The position is a strong addition to the Managing Clerk's Office and offers a defined path toward more senior docketing and procedural advisory responsibilities.

Essential Duties
  • Accurately enter and maintain court filings, orders, and case correspondence in the Firm's docketing database.
  • Calculate and calendar deadlines in accordance with applicable federal, state, and local rules, as well as individual judges' rules and part rules.
  • Monitor court dockets and electronic notification services to identify important case developments and alert the responsible attorneys.
  • Review documents prior to service and filing for correct format, adherence to rules, signatures, required filing fees, exhibits, courtesy copy requirements, and service issues.
  • Handle electronic case filings via CM/ECF, NYSCEF, ACMS, and other jurisdictions, in addition to hard copy and in-person filings and document retrieval.
  • Ensure timely delivery of courtesy copies of filings to judges and chambers staff.
  • Handle a large volume of PDFs and convert them into court-compliant filing formats, including bookmarking, OCR and text-searchable conversion, and file size and format compliance.
  • Conduct precedent searches and maintain the Firm's library of court-compliant forms and sample filings.
  • Provide guidance to attorneys and paralegals on court procedures, local rules, and individual judges' rules, escalating novel or complex procedural questions to senior member of the Managing Clerk's Office.
  • Monitor the department's group email inbox and manage incoming assignments.
  • Coordinate with courts, process servers, vendors, and internal teams to obtain case materials and to effect service of summonses, complaints, subpoenas, and other legal documents.
  • Assist with registering attorneys for electronic filing and troubleshoot account-access issues.
  • Maintain and track bar admissions, certificates of good standing, and renewal deadlines.
  • Assist with the preparation of routine court submissions such as notices of appearance, stipulations, court-required forms, and applications for pro hac vice admission.
  • Receive, review, and process incoming litigation-related mail.
  • Assist with department and case team projects and additional duties, as needed.
Reporting Relationship

The Litigation Docket Clerk reports directly to the Office Administrator.

Qualifications
  • 1+ years of experience in a Managing Attorney or Managing Clerk's Office, docketing department, or comparable litigation support role at a law firm.
  • Working knowledge of federal and state court rules and procedures, with familiarity with the Texas state and federal court systems preferred.
  • Proficiency in electronic filing using CM/ECF, NYSCEF, and ACMS; familiarity with additional state filing systems is a plus.
  • Experience using CourtAlert or comparable docketing and calendaring software (e.g., eDockets, CompuLaw).
  • Familiarity with PACER/NextGen, Bloomberg Law, and CourtLink.
  • Experience handling large volumes of PDFs and converting them into court-compliant filing formats.
  • Ability to manage multiple requests, prioritize competing tasks, and consistently meet court and internal deadlines.
  • Exceptional attention to detail with a commitment to producing accurate, high-quality work.
  • Strong analytical and problem-solving skills, including the judgment to recognize and elevate procedural issues when appropriate.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced, high-demand environment while maintaining composure under pressure.
  • Flexibility to provide after-hours support for time-sensitive court filings and procedural matters.
  • Demonstrated self-motivation and a strong interest in developing into a senior procedural advisory role within the Managing Clerk's Office.
Education

College degree is required.

Physical Demands

Must be able to move around the office up to 15% of the time to make copies, fax, file, etc. Remains stationary at least 85% of the time. This position operates computers and other office productivity machines (e.g., fax machine, copier, printer, etc.) on a regular basis. Occasionally required to move documents or files weighing up to 15 lbs. This position requires constant communication and exchange of information with the Firm attorneys, clients and staff. This position must be able to inspect and observe information on a computer screen at least 80% of the time.
