Job summary

Morgan & Morgan is seeking an on-site Administrative Assistant to work closely with the lead attorney and litigation paralegal. The role supports scheduling, filing, billing, and client coordination within a busy personal injury practice.

Ideal candidates have a high school diploma or GED with Paralegal studies education preferred and at least two years of administrative experience in a law firm or corporate setting.

Qualifications

  • High school diploma or GED required; associate or bachelor’s degree in Paralegal Studies or a Paralegal Certificate preferred.
  • Experience in a law firm or corporate legal department is a plus.
  • Strong written and verbal communication, organization, and ability to multitask in a fast-paced environment.

Responsibilities

  • Perform administrative duties: schedule hearings, manage calendars, organize case files, and coordinate logistics.
  • Maintain pleadings, discovery indexes, exhibits, and documents; ensure organized filing (paper or electronic).
  • Draft and proofread correspondence and legal documents; assist with reports and case preparation.
  • Research regulations and laws to support reports and case files; communicate with clients and witnesses to schedule meetings and depositions.

Summary

This role will work closely with a lead attorney and litigation paralegal. Successful candidates will be responsible for areas including but not limited to the following.

Responsibilities
  • Perform administrative duties, such as scheduling calendar hearings and deadlines, organizing case files, and managing logistics
  • Maintain pleadings and discovery indexes
  • Organize exhibits, documents, evidence, briefs, and appendices
  • Implement and improve upon administrative processes for more efficient workflow
  • Collect, examine, and organize evidence and other legal documents for attorney review and case preparation
  • Draft and proofread correspondence and legal documents, such as pleadings and contracts
  • Research regulations, laws, and legal articles to assist with the preparation of reports, case files, and legal advice
  • Manage client billing by preparing, finalizing, and sending out bills, as well as resolving billing issues in cooperation with the billing attorney
  • Communicate with clients and witnesses to schedule meetings, interviews, and depositions
  • Manage, organize, and maintain documents in paper or electronic filing systems
  • Provide general administrative assistance, such as maintaining the attorney’s calendar and making travel arrangements
  • Performs other related duties as assigned to meet the needs of the business
Qualification
  • High school diploma or GED
  • Associate’s Degree in Paralegal Studies, Bachelor’s Degree, or a Paralegal Certificate (preferred)
  • Experience in Personal Injury, Workers Compensation, Premises, First Party or other injury related practice areas (preferred)
  • At least 2 years of experience as an Administrative Assistant preferably in a law firm setting or in a corporate legal department.
  • Highly organized with the ability to multitask, prioritize, handle a fast-paced environment, and manage workload with a great attitude and minimal supervision
  • Strong written and verbal communication skills, including good presentation skills.
  • This role is on-site, which gives you the chance to be fully immersed in the work and gain direct experience alongside the team. We’ve found that being in the office helps new team members get up to speed quickly and feel more connected.
