Job summary

Socket.dev is seeking a detail-oriented Linen Inventory Coordinator in Woburn, MA to manage linen inventory movement, outbound UPS orders, returns, and inter-store transfers. You’ll partner with sales, planning, warehouse, asset reconciliation, and finance teams, coordinating with UPS and clients to ensure on-time delivery and accurate records.

Qualifications

  • High school diploma or equivalent.
  • Experience in shipping, fulfillment, logistics, distribution, or inventory operations, preferably with national parcel volume.
  • Hands-on familiarity with UPS systems and parcel exception, claims, and guaranteed-service-refund processes.
  • Proficiency in Microsoft Excel for tracking shipments, transfers, invoice charges, and inventory movement.
  • Experience with an order management, ERP, or rental management system; POR experience is a plus.
  • Clear, confident written and verbal communication with clients, salespeople, warehouse teams, and carrier representatives.
  • A proactive approach to problem-solving — spotting a delay or missed pickup and resolving it before the client has to ask.
  • Comfortable managing competing priorities and firm deadlines in a fast-paced, event-driven environment.
  • Strong attention to detail in inventory and order records, including damages, transfers, and order closeout.
  • Able to work independently and take ownership of recurring daily, weekly, and biweekly responsibilities.
  • Collaborative and confident working across sales, planning, warehouse, asset reconciliation, and finance.

Responsibilities

  • Manage all outbound UPS linen orders nationally - release, ship, and close orders in POR, including swatch orders.
  • Review UPS exception notifications daily and alert the correct team or salesperson so delays are addressed immediately.
  • Track and monitor delayed shipments to ensure on-time arrival, and proactively send rerun shipments when timing is at risk.
  • Keep clients informed when their shipment is being monitored or a rerun has been sent.
  • Coordinate with UPS and clients to execute high-priority, last-minute, and urgent requests.
  • Schedule UPS pickups and check all inbound shipments for scans, contacting clients when a pickup is missed.
  • Reschedule pickups or arrange client drop-off, and track missed pickups through to resolution - working with planners, venues, asset reconciliation, and UPS to pinpoint the issue and complete the pickup.
  • Generate and send return labels to clients daily.
  • Execute inter-store linen transfers, including transfers to NY and transfers between Reverie and partner store locations.
  • Maintain inventory accuracy by removing damages from inventory and monitoring the rolling seven-day overbook.
  • Review UPS invoice charges biweekly, reporting on shipping profitability along with any issues, trends, or changes.
  • Request guaranteed service refunds for delayed shipments and missed pickups, and initiate and follow up on claims for lost or damaged goods.
  • Monitor weather nationally, anticipate potential UPS delays, and alert the sales team so delays are managed proactively.
  • Support Cap Ex requests and projects such as showroom labels, showroom orders, and replenishment of our Middletown, RI facility.

About the Job

We are seeking a detail-oriented Linen Inventory Coordinator to manage store transfers and UPS fulfillment nationally for our linen portfolio, including our national linen brand, Reverie Social Linen. This role owns the daily movement of linen inventory - outbound orders, inbound returns, and inter-store transfers - keeping shipments, pickups, and exceptions moving so clients receive exactly what they ordered, on time, everywhere we ship.


The Linen Inventory Coordinator will partner with sales, planning, warehouse, asset reconciliation, and finance teams, and will work directly with UPS and clients, to drive on-time delivery and recovery, accurate inventory records, and cost-effective national shipping performance. This role is based in our Woburn, MA facility.


What You’LL Do


  • Manage all outbound UPS linen orders nationally - release, ship, and close orders in POR, including swatch orders.
