LifeLong Learning Program Coordinator
Job Summary

Program Specialists

Lifelong Learning connects the University of Utah to adult learners(18+) across the state through in-person and online classes thatpromote personal exploration, growth, and community engagement. Weprogram approximately 500 adult enrichment classes a year, spanningvisual and performing arts, current events, recreation, wellnessand relationships, literature, and so much more. We celebrate ourcommunity and foster campus connections and belonging for anyonewho wants to learn. The Lifelong Learning Program Coordinator supports the planning,execution, and evaluation of personal enrichment classes offeredthrough the Lifelong Learning program. This role ensures smoothclassroom operations, oversees class materials purchasing,processes instructor and partner payments, provides exceptionalcustomer service to instructors and students, and contributes tothe development of new programming.

Responsibilities

Program Specialists, III

Purchasing & Accounting:

  • Coordinate with instructors and colleagues to procure classmaterials and calculate special fees based on anticipatedcosts.
  • Process instructor payroll in accordance with universitypolicies, procedures, and deadlines.
  • Receive and reconcile purchases and invoices to ensure accuratefinancial records.
  • Process invoices, purchasing card (PCard) transactions, and otherprogram-related payments in accordance with universityprocedures.
  • Compile semester program and expense data, prepare financialsummaries, and provide recommendations to support data-informedreview of special fees and program costs.

Instructor & Student Support:

  • Communicate promptly and thoroughly with instructors regardingrequired class materials, syllabi, handouts, and class needs.
  • Respond to student inquiries and provide guidance throughout thecourse lifecycle.

Class Coordination:

  • Facilitate setup and support for classes, including materialspreparation and instructor assistance.
  • Monitor and run classes, enroll/drop students, and manage classlogistics.
  • Be present for evening and Saturday sessions as scheduled.

Administrative Duties:

  • Maintain accurate records in spreadsheets and databases incoordination with the team.
  • Answer phone calls and monitor the Lifelong Learning email inboxin coordination with the team.

Program Development:

  • Assist in catalog creation, maintenance, and distribution.
  • Collaborate with team members to identify and implementimprovements.

Team Collaboration:

  • Participate in weekly meetings and contribute agenda itemsrelated to program enhancements.
  • Cross-train with other coordinators to ensure coverage duringabsences.
  • Collaborate with colleagues in the creation of social mediacontent to support marketing efforts.
  • Work well with colleagues and support a positive teamculture.
Minimum Qualifications

Work Schedule Summary: A flexible schedule is important.Classes take place on weekday evenings and on Saturdays. Thisposition is expected to build relationships with instructors,students, and other members of the community, especially whileclasses are in session.The anticipated schedule, which includes a1-hour lunch break, is Monday through Thursday, 10:00 am-7:00 pm,Fridays 8:00 am-5:00 pm, and at least one Saturday a month.HYBRIDWORK OPPORTUNITY: Employees must reside in the state of Utah butwill have the opportunity to work a hybrid schedule of in-personand remote work.
