Qualifications

  • Prior experience as a Legal Secretary or Executive Assistant in a law firm.
  • Experience supporting Private Client practice preferred.
  • Proficiency with Microsoft Office Suite and document formatting.

Responsibilities

  • Provide administrative and practice support to attorneys and legal professionals.
  • Manage complex calendars, meetings, and appointments across multiple time zones.
  • Coordinate domestic and international travel arrangements and expense reporting.
  • Prepare, format, proofread, and revise legal documents, correspondence, presentations, and reports.
  • Assist with document production, filings, and execution processes.
  • Open new matters and support client onboarding procedures.
  • Maintain electronic and physical files in accordance with firm policies.
  • Serve as a professional point of contact for clients, outside counsel, vendors, and internal teams.
  • Coordinate signature and document execution processes.
  • Support presentations, client pitches, and business development initiatives.
  • Coordinate meeting logistics, conference room reservations, and catering arrangements.
  • Provide general office and team support as needed.

Job description

We are seeking an experienced Legal Secretary to join our growing U.S. Private Client team. This is an exciting opportunity to become part of an international law firm and provide high-level support to attorneys in a dynamic, collaborative, and client-focused environment.

The successful candidate will play a key role in ensuring the efficient operation of the practice by managing attorney schedules, coordinating client matters, preparing legal documents, and supporting day-to-day administrative activities.

Key Responsibilities

Qualifications
  • Prior experience as a Legal Secretary, Legal Assistant, or Executive Assistant in a law firm or professional services environment.
  • Experience supporting attorneys in a Private Client practice preferred.
  • Strong proficiency in Microsoft Office, including Word, Outlook, Excel, and PowerPoint.
  • Experience with legal billing, document management, and practice management systems preferred.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong communication, proofreading, and attention-to-detail skills.
  • Professional, client-service-oriented approach and ability to maintain confidentiality.
