Job summary

Maricopa County is seeking a Legal Secretary to join the Office of the Legal Advocate. You will support a dynamic legal team by preparing and filing legal documents, and by managing case files and calendars in a fast-paced environment.

You will work closely with attorneys, paralegals, investigators and other professionals to ensure high-quality representation for indigent clients. The position requires strong communication and organizational skills and offers tuition reimbursement, a balanced

Qualifications

  • Two years of experience in a legal setting with knowledge in legal preparations and legal proceedings
  • High school diploma or GED
  • Post-secondary education may substitute for the experience requirement on a year-for-year basis

Responsibilities

  • Types and prepares legal documents, briefs, petitions, and memoranda for filing from written copy, oral and/or mechanical dictation in a fast-paced environment
  • Transcribes witness interviews verbatim from cassette tape, CD and/or digital recordings
  • Answers multi-line telephone for various staff members, screens calls, transfers, and takes messages as needed
  • Performs as receptionist for unit or floor; directs visitors, sorts, and distributes mail/fax transmissions, and memos
  • Coordinates case files and calendars; files documents in complex files; prepares court calendars for attorneys, schedules meetings, interviews, and legal calls
  • Photocopies documents, correspondence, notebooks, books, motions, briefs, files, and other confidential materials
  • Supports attorneys who represent persons who have been charged with and/or been convicted of crimes, some of which may include traumatic subject matter, and performs this work under critical deadlines
  • Accesses information electronically from the court and updates internal case tracking systems; uses internal case tracking systems and intra/internet to answer questions for attorneys, staff, and clients
  • Hand-delivers and/or picks up documents/items on- and off-site
  • Boxes files for long-term storage, occasionally retrieves closed files from and returns files to long-term storage area

Pay Range: $21.75 - $36.50 hourly. Salary offers are based on the candidate's equivalent experience and internal equity with other employees within the same job classification. This position is eligible for overtime compensation for all hours worked over 40 in the designated workweek.

As a Legal Secretary, you will play a vital role on the defense team by handling case files, preparing legal records and filing pleadings, petitions, briefs, correspondence, motions, and other legal documents. We Require

  • Two years of experience in a legal setting with knowledge in legal preparations and legal proceedings

  • High school diploma or GED

We Also Value

  • Criminal law or indigent defense office experience

  • Experience as a Legal Secretary working in a public or private law firm

  • Certificate of completion from an accredited secretarial school or certificate of completion from a legal secretary training program

Working Conditions

  • Ability to work with traumatic subject matter (crime scenes, accidents, etc.)

  • Ability to work in an environment with frequent interruptions, time pressures, high volumes of work, handling multiple or complicated tasks, unscheduled tasks, frequently changing tasks, accuracy, decision making, concentration/vigilance, teamwork, working in close physical proximity with others, and public contact

  • May be required to lift 15-25 pounds from floor to waist; 15 pounds waist to shoulder or shoulder to overhead; carry 25 pounds 100 feet or push/pull 100 pounds 1000 feet
