ARCO, a Family of Construction Companies, is seeking a curious and capable Legal Operations Specialist to help our legal team use technology, data, and processes more effectively. You’ll quickly take ownership of core areas including legal reporting and analytics, legal spend and e-billing, and quality assurance (QA/QC). As you grow, you’ll gain exposure to AI enablement, process improvement, special projects, training, and change management while working across legal, accounting, technology, HR, and construction operations.
A DAY IN THE LIFE
Reporting & Analytics
- Responsible for the legal department’s recurring and ad hoc reporting and dashboards — delivering reliable metrics on legal spend, matters, cycle times, and operational performance to legal leadership.
- Build and maintain reports and dashboards using SQL Server and Power BI.
- Own data quality and validation for Legal Operations reporting: run data-quality checks, document and resolve discrepancies, and maintain knowledge of the source systems behind the numbers.
- Turn matter and spend data into insights and recommendations that inform legal‑leadership decisions and surface efficiency and cost‑saving opportunities.
Legal Spend & e‑Billing
- Responsible for the e‑billing function end to end in CounselLink — including backend administration (invoice routing, contacts, imports, reconciliations) and day-to-day operation.
- Support legal team’s review of non-compliant outside counsel invoices, legal‑department budgeting, accruals, and spend forecasting, and produce legal‑spend reporting for leadership.
- Serve as the first point of contact for legal‑side e‑billing and legal‑technology issues, routing technical implementation needs to the appropriate support team.
Quality Assurance (QA/QC)
- Lead quality assurance across Legal Operations — validating that AI tools and outputs, reports and dashboards, and process or system changes meet documented requirements before broader use.
- Perform QA/QC on AI tools and outputs against documented requirements, and help create and improve AI tools that drive meaningful efficiencies for the legal team.
- Define and maintain QA standards, test scripts, and acceptance criteria for new reports, workflows, and legal‑technology or AI deployments.
Legal Technology & Systems
- Administer and support the legal technology stack and the workflows behind it, including NetDocuments, CounselLink, DocuSign, Power BI, and AI tools such as Claude.
- Support matter intake and matter‑management data, keeping records accurate and workflows moving.
AI Enablement, Documentation & Knowledge Management
- Help the legal team adopt AI responsibly — building and QA‑ing AI tools and training users on how AI can improve efficiency and help the team scale as ARCO grows.
- Document processes, issues, decisions, and system relationships across Legal Operations and the broader legal department so work can be repeated and improved.
- Maintain legal content on the company intranet and improve how users find and use knowledge.
- Design efficient processes, document future‑state workflows, and support implementation.
- Own defined workstreams within records retention, OFAC, and other Legal Operations projects.
Stakeholder Support, Training & Change Management
- Translate between Legal, Technology, Finance, and business users; investigate root causes of system or process issues, bring recommended resolutions forward for approval, and drive implementation with the relevant stakeholders.
- Create and deliver training on legal technology, AI tools, and process changes
- support communications and change‑management plans.
- Recognize when an issue is outside your authority or expertise, and elevate rather than guessing or making assumptions.
Learning & Business Knowledge
- Build a working knowledge of how shared services, the Legal department, and ARCO’s construction operations work together, and how the business runs day to day.
- Maintain a working understanding of our core legal practice areas (transactions, claims, corporate, risk management, and compliance) and of the legal technology stack and how the systems connect.
Required
NECESSARY QUALIFICATIONS
- 3+ years in legal operations, legal billing/finance operations, data and reporting/BI, or a related operational role — with demonstrated ownership of at least one recurring function (e.g., reporting, billing, or QA).
- Bachelor’s degree or an equivalent combination of education and experience.
- Reporting and data-validation experience, ideally with SQL and a BI tool such as Power BI.
- Proficiency with Microsoft 365, including Outlook, Teams, Excel, and SharePoint or OneDrive.
- Clear written and verbal communication skills, including the ability to document work and explain it to people with varying levels of technical or legal knowledge.
- Strong problem‑solving ability and sound judgment about when to ask questions or elevate, including exercising discretion with confidential and privileged information.
- Demonstrated ability to learn new systems, processes, and business concepts quickly, with experience working with data, reports, business processes, technology, or operational improvement.
- An active listener who is flexible, organized, methodical, and cross‑functional, with ability to work through ambiguity with the curiosity to make connections across people, processes, systems, and data.
Preferred
- Experience with legal technology and enterprise applications — e‑billing, contract lifecycle management (CLM), document/records management, matter management, or workflow tools.
- Familiarity with legal‑operations metrics/KPIs and outside-counsel management / Outside Counsel Guidelines.
- Experience with AI tools, prompt-based workflows, QA/QC, automation, or technology enablement.
- Experience supporting training, communications, change management, or process improvement.
- Experience in a legal, construction, operations, shared‑services, or other cross‑functional business environment.
- Comfortable moving between detailed work and broader business or process perspectives.
- Comfortable with technology and willing to learn unfamiliar tools.
- Clear and practical written and verbal communication skills.
- Reliable follow-through and attention to detail.
