Job summary

Interstates is seeking a Legal Operations Administrator to organize, streamline, and support our Legal Services team as we grow. You will partner with the General Counsel and business leaders to coordinate contracts, maintain records, and manage daily operations.

We welcome candidates with 1–4 years in contract administration or legal support, a degree in business or legal studies, strong communication, and proficiency in MS Office.

Qualifications

  • 1–4 years of experience in contract administration or legal support preferred.
  • Ability to read and understand contracts and business documents.
  • Strong written and verbal communication with professionalism and discretion.

Responsibilities

  • Coordinate the full contract lifecycle from intake to recordkeeping.
  • Review routine contracts using templates, playbooks, and standard language.
  • Maintain contract files and ensure documentation is accurate and accessible.
  • Obtain, review, issue, and maintain insurance certificates.
  • Coordinate bond administration and related documentation.
  • Track liens, licenses, registrations, and renewals.
  • Support daily operations of the Legal Services team (scheduling, meetings, agendas).
  • Assist with communications, reports, and other administrative projects.
  • Maintain department procedures and documentation standards.
  • Support legal training administration and process improvements.
  • Build collaborative relationships with internal stakeholders and provide excellent customer service.

The Opportunity

We're looking for a Legal Operations Administrator to help keep our Legal Services team organized, efficient, and responsive as we support a growing business.

In this role, you'll partner closely with the General Counsel, Associate Counsel, and business leaders across the organization to coordinate contracts, maintain legal records, support compliance activities, and manage the day-to-day operations of the Legal Services department.

We're open to either a full-time or part-time team member for this position. What You'll Do
  • Coordinate the full contract lifecycle, including intake, routing, approvals, execution, tracking, and recordkeeping.
  • Review routine contracts using approved templates, playbooks, checklists, and standard language while escalating non-standard legal issues to counsel.
  • Maintain contract files and ensure legal documentation is accurate, complete, and accessible.
  • Obtain, review, issue, and maintain certificates of insurance.
  • Coordinate bond administration and related documentation.
  • Track lien notices, lien waivers, business licenses, registrations, and renewals.
  • Support the daily operations of the Legal Services team through scheduling, meeting coordination, agendas, and follow-up activities.
  • Assist with department communications, presentations, reports, and other administrative projects.
  • Maintain legal records, department procedures, and documentation standards.
  • Support legal training administration and continuous improvement of legal processes.
  • Build collaborative relationships with internal stakeholders while delivering excellent customer service.
What You Bring
  • Associate's or bachelor's degree in Business, Legal Studies, Office Administration, Paralegal Studies, Administrative Management, or a related field preferred. Equivalent education and experience will be considered.
  • 1–4 years of experience in contract administration, legal support, project administration, executive administration, construction administration, compliance, or a related role preferred.
  • Ability to read and understand contracts, business documents, and administrative procedures.
  • Strong written and verbal communication skills with a high level of professionalism and discretion.
  • Excellent organizational skills with exceptional attention to detail.
  • Ability to prioritize multiple responsibilities while meeting deadlines in a fast-paced environment.
  • Strong computer skills, including Microsoft Office and the ability to learn new business systems.
  • Availability to work either a full-time or mutually agreed-upon part-time schedule. We are flexible and willing to tailor hours for the right candidate.

This position may be based in our Sioux Center, IA or Sioux Falls, SD office. Travel is minimal and limited to occasional company meetings or business needs.
