Duties and Responsibilities

Essential Job Functions: Responsible for specialized and confidential secretarial duties under the direction of the City Attorney. Composes correspondence and a variety of legal documents including Open Records Request and Attorney General letters. Maintains a calendar of case events and the City Attorney’s calendar; answers telephone and routes calls; drafts routine ordinances and resolutions; responsible for requisitioning and purchasing of equipment, supplies and supply inventory; processes department invoices; makes travel and lodging arrangements for the department. Responsible for timely submission of monthly departmental report.

Working Conditions

This position requires 100% onsite work. This position will start in October and end in May. Work indoors in a normal office environment. Fast-paced office environment; must be available to work up to 40 hours a week; Monday through Friday; overtime as needed.

Minimum Essential Qualifications

Knowledge: Knowledge of secretarial practices and procedures; knowledge of business English, spelling, grammar, arithmetic and vocabulary; thorough knowledge of office practices, procedures, systems and equipment; knowledge of general municipal operations and organizations; thorough knowledge of computers and associated software including Microsoft Office; knowledge of IBM Series (AS/400) financial, payroll and purchasing software preferred.

Skills/Abilities: Ability to operate modern office machinery; ability to set up and type a variety of letters, reports and records; ability to input data accurately and in a timely manner; ability to understand and follow oral and written instructions with minimal supervision; ability to establish and maintain effective working relationships with other employees and the public; ability to operate a calculator; ability to type 40-45 wpm on a personal computer preferred; ability to work in an office environment with frequent interruptions by the telephone.

Physical Requirements: Constantly sees and hears; frequently operates a computer, answers telephone, enters data, sits, lifts and carries objects weighing up to 10 lbs., uses a calculator, operates a printer, fax machine, files, sorts, types, writes by hand, stands, walks, bends; infrequently lifts objects weighing up to 25 lbs.

Education/Experience: A college student (Sophomore, Junior or Senior) actively working towards a degree in Political Science, English, History, Business or a related field. Two (2) years of office clerical experience; minimum of six (6) months actual work experience utilizing Microsoft Office; six (6) months experience in data entry; experience answering a multi-line phone with heavy load of incoming calls preferred; must have excellent grammar skills.

Other: This position requires 100% on-site work. Skills test administered. Must possess a valid Class C driver's license with a good driving record. Other state valid Driver’s License equivalent to Texas Class C with a good driving record will be considered. Texas state law requires within 30 days of residency, you must possess a valid Texas driver’s license. Applicant selected for hire will be subject to a background investigation and drug/alcohol screen test.
