Job description

Frier Levitt, established in 2000, is a national boutique law firm focused exclusively on Healthcare and Life Sciences. The Firm draws on its experience representing stakeholders across the entire healthcare spectrum. In the Life Sciences, Frier Levitt has represented pharmacies of all kinds and assisted with regulatory, transactional, and litigation matters. On the Healthcare side, the Firm's clients have included large physician group practices, hospitals, hospital medical staff, ambulatory surgery centers, laboratory companies, as well as the complete panoply of ancillary service providers. Frier Levitt attorneys are licensed in numerous states. The Firm has offices in Pine Brook, NJ, and New York City.

An experienced, full-time Legal Assistant (a/k/a "Legal Secretary" or "Legal Administrative Assistant") is sought for our high volume Litigation department, with a focus on regulatory litigation and insurance defense. Note that this is not a paralegal position.

The successful candidate will be working in our Pine Brook, NJ, office; however, you may be eligible to work remotely one day a week after approximately two months of employment.

The Legal Assistant will be responsible for:

  • Document preparation and e-Filing for submissions to state and federal agencies as well as commercial insurance companies
  • Cleaning up complex Word documents
  • Converting documents from Adobe PDF
  • Maintaining a diary of time-sensitive filing deadlines and follow-ups
  • Managing attorneys' calendars, coordinating meetings and appointments; scheduling calls/meetings via Microsoft Teams
  • Tracking attorney CLE credits, including scheduling CLE courses and submitting certificates of completion to the state(s); keeping records
  • Scanning, saving and uploading documents to our document management system (NetDocs) and utilizing Centerbase for billing, potential new clients, contact information and engagement letter monitoring
  • Utilizing Litera Compare and Track Changes for editing documents
  • Answering direct lines in a timely and polite manner
  • Coordinating travel as necessary
  • Processing time entries for attorneys
  • Effectively and calmly communicating with staff, attorneys and clients, even when under pressure
  • Back up other Legal Assistants when necessary

Requirements:

  • 3+ years' experience as a Litigation Legal Assistant/Legal Secretary in a private law firm (insurance defense helpful; healthcare/regulatory experience helpful)
  • Proficiency in Microsoft Office Suite, Adobe and Docusign products; Centerbase helpful
  • Excellent communication, proofreading and organization skills
  • Ability to prioritize assignments and tasks
  • Knowledge in TOA and TOC helpful
  • Extremely organized, paying close attention to detail
  • Excellent verbal and written communication skills
  • Position is best for an easygoing personality, someone who truly cares about the job
