Job summary

What You'll Actually Be Doing
  • Managing Case Pleadings. Review each pleading, determine whether it starts a deadline or affects a date already set, calendar it with work tasks dated backward from the due date. Prepare and e-filing in Kansas district courts, confirm acceptance, fix and resubmit rejections same-day, save file-stamped copies, and document service.
  • Draft and prepare documents. Pleadings, discovery, correspondence, exhibits, journal entries, and proposed orders, proofread for accurate parties, dates, citations, and firm formatting, plus packets for hearings and signings.
  • Own the calendar and docket. Keep attorney calendars current, reconcile them against scheduling orders and court notices, and come prepared to weekly case review and the Friday docket call.
  • Keep files and coordination clean. Organize matters to firm standard so any attorney can pick one up cold, open and close matters, and work with clerks' offices and opposing counsel's staff on filings, scheduling, and certified copies.
  • Handle case logistics and back up the front desk. Confirm hearing dates, schedule signings, and collect signatures and documents on your matters, and cover reception a few scheduled hours a week.
What We're Looking For

Here’s the honest version of who succeeds in this job. If you read this and think "that’s me," apply. If you read it and feel your stomach drop, we’d both probably rather know now.

  • Prioritization judgment. You will have more assigned to you than you can finish in a week, every week. That’s what a busy firm looks like. The job isn’t emptying the list, it’s deciding each day what has to happen, confidently.
  • Execution. Deciding what to do is half the job and finishing it is the other half. We need someone who produces what has been asked, not someone who reviews a file, worries about it, and silently panics.
  • Context switching. You’ll be interrupted. A lot. Slack, email, an attorney at your desk, a clerk calling back about a filing. You need to take the interruption, decide in about ten seconds whether it changes your priorities, and either handle it or queue it and get back to what you were doing.
  • Confidence. Ask us direct questions, including when we’re heads‑down and you’d rather not bother us. If you don’t know what a document means or which thing we want first, it’s okay to boss us around a little. We can take it.
  • Composure under load. Everybody feels overwhelmed sometimes and we’re not looking for someone who doesn’t. We’re looking for someone who responds to a mess by sorting it instead of freezing on it.
And on the technical side:
  • Prior legal assistant experience. This is not a great entry‑level position.
  • Working familiarity with Kansas e‑filing and district court procedure
  • Strong drafting and proofreading, with accuracy on names, dates, parties, and citations
  • Experience with case management software. We use Smokeball
  • Discretion with confidential client information
  • Reliable attendance and the ability to work full‑time on‑site
Key Performance Indicators (KPIs)
  • Document Handling. Every document that comes into a matter is saved to the correct file, calendared, and escalated to the paralegal and/or responsible attorney the same business day it arrives.
  • File integrity. Anyone can open a matter you maintain and find what they need without asking you. Measured by monthly file audit.
  • Document turnaround. Routine documents and correspondence are completed within two business days of assignment. Larger projects get a delivery date agreed at assignment.
  • Accuracy. Documents returned for substantive correction, meaning content, parties, dates, citations, or firm formatting standards. No repeats of an error once it has been raised.
  • Output. 25 billable hours per week by day 30, 30 per week thereafter, at a 90% collection rate.
