We are seeking a Legal Administrative Support Specialist to provide advanced administrative support to our Legal and Compliance Departments while managing service provider complaint tracking, quality assurance reviews, litigation documentation, and regulatory support activities. Key Responsibilities
- Provide administrative support to the Legal and Compliance departments, managing multiple priorities and projects simultaneously.
- Review, track, document, and maintain service provider complaint logs and related records.
- Conduct quality assurance reviews of remediation projects and licensing requests to ensure accuracy and compliance.
- Prepare subpoena responses and compile supporting documentation in a timely manner.
- Track litigation matters and provide supporting documentation for internal and external requests.
- Create and maintain physical and electronic filing systems, ensuring organization and confidentiality.
- Prepare reports, schedules, calendars, correspondence, presentations, and training materials.
- Coordinate meetings, manage travel arrangements, and process expense reports for assigned leaders.
- Log legal matters and invoices accurately and timely.
- Maintain awareness of attorney calendars, meetings, and priority matters to support department effectiveness.
- Collaborate across departments to gather information and support legal, compliance, and regulatory initiatives.
- Perform other duties, special projects, and assignments as required, including assistance with litigation management, regulatory exams and licensing.

Qualifications
- Experience: Demonstrated ability to manage multiple competing priorities.
- Education: Associate's degree obtained or near completion.
- Strong organizational skills with exceptional attention to detail.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Experience supporting multiple stakeholders and managing competing priorities.
- Proficiency in use of artificial intelligence tools, Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- Ability to use proper grammar, spelling, punctuation, and business correspondence formatting.
- Experience preparing reports, maintaining records, and working across multiple software systems.
- Familiarity with legal documentation, litigation support, subpoena management, compliance functions, or regulatory environments is preferred.
Location & Work Schedule
- Location: Remote opportunity or hybrid at our Chadds Ford, PA, Tempe, AZ, or Coppell, TX locations.
- Schedule: Monday through Friday with flexibility to support business needs and departmental priorities.
