Legal Administrative Assistant

Location: Downtown Fort Lauderdale
Type: Temp-to-Perm
Start Date: June 23, 2025

A boutique law firm near downtown Fort Lauderdale, practicing transactional law including Land Use / Zoning, Environmental, and Government Law, is seeking a highly organized Legal Administrative Assistant with transactional experience to support one of the Partners and an Associate.

Responsibilities include:

  1. Answering phones professionally and retrieving messages.
  2. Scheduling Zoom and Teams meetings for multiple lawyers.
  3. Managing calendars in Outlook.
  4. Using TimeSlips to open files, record payments, enter lawyer time, and process bills.
  5. Uploading bills to billing platforms like Serengeti and mailing paper bills.
  6. Handling client inquiries regarding payments and resending invoices electronically.
  7. Processing payments and maintaining lobbyist registration records.
  8. Monitoring office supplies and managing kitchen supplies and cleanliness.
  9. Creating FedEx shipments and managing electronic and paper filings.
  10. Scanning documents and maintaining electronic filing systems.
  11. Welcoming clients and preparing correspondence regarding trust fund returns.
  12. Managing campaign contribution records in Excel.

The firm uses Microsoft Excel, Word, Outlook, and TimeSlips; familiarity with these is a plus.

This on-site position is from 9 am to 5 pm with minimal overtime. Salary is commensurate with experience. The firm is reviewing resumes and plans to interview in May.
