Job description

FLSA Status: Full-time/non-exempt
Salary Range: $60,000-$75,000 depending on experience.

Collins Cole Winn & Ulmer, PLLC, is a boutique law firm specializing in general counsel representation of local governments, including special districts, municipalities and authorities. We are seeking a skilled and experienced individual to join our Lakewood team. Experience work-life balance with, fun colleagues, and environment that supports teamwork and collaboration, with bonuses available. This position is in- office; however, remote work may be permitted one day per week following a training period. This position provides legal administrative assistance to attorneys and paralegals and assists the Firm Administrator with daily tasks.

Responsibilities include, but not limited to:

  • Provide secretarial support to attorneys and paralegals, including editing document drafting, proofreading, formatting with styles; scanning; organizing and maintaining electronic files; maintaining electronic client database.
  • Screen and direct limited incoming calls to staff.
  • Provide general support to visitors. Responsible for maintenance of office appearance, safety, and organization. Accepts and routes deliveries and/or daily mail, which may include scanning documents.
  • Assist with onboarding and offboarding of employees;
  • Review, edit and update documents under the direction of the Firm Administrator;
  • Work with IT to provide technical assistance to employees, including maintaining a comprehensive list of
  • IT equipment, setting up firm computers for new hires, and ordering new equipment.
  • Organize firm events such as conference attendance and reservations, Annual Anniversary/Holiday party, quarterly and monthly gatherings.
  • Interface with building management for maintenance requests, conference room scheduling, etc.
  • Communicate with CBA regarding attorney announcements.
  • Purchase office supplies including snacks, water, soda, and cleaning supplies.
  • Enter expenses for employee reimbursement in Expensify.
  • Submit and manage attorney CLE credits for Partners.
  • Serve as liaison with technical support staff for office equipment including supporting all staff with software and tools including NetDocuments, Caret, Outlook, copier, postage machine, etc.

Required Skills:

  • Strong organizational, interpersonal, time management and technology skills including document production, formatting with styles.
  • Proficiency with Office 365, Adobe Acrobat Pro, document management and client relationship management systems.
  • Advanced Microsoft Word skills, including advanced formatting with use of styles.
  • Excellent verbal and written communication, grammar, proofreading and editing skills.
  • Superb proofreading skills, ensuring grammatical accuracy, consistency, and adherence to firm's style guidelines.
  • Detailed-oriented, self-driven, and able to multi-task.
  • Ability to work independently and as part of a team.
  • Willingness to work overtime as required to meet deadlines.
  • Ability to build and maintain positive relationships, both internally and externally, while maintaining a client service orientation with integrity and client confidentiality.
  • Ability to concentrate on tasks, and work calmly and effectively in a high-pressure, deadline orientated environment with a willingness to be flexible with time and adjust to the changes.
  • At least 3 years of law firm experience.
