This in-office role focuses on organizing processes, collecting documentation, tracking deadlines, and reporting to HR leadership. Responsibilities include sending notices, maintaining records, tracking certifications, and coordinating return-to-work documentation.

Qualifications

  • 2+ years of administrative, HR, benefits, healthcare, claims, or related experience preferred.
  • Strong organizational skills with exceptional attention to detail and follow through.
  • Ability to manage multiple cases, deadlines, documentation requirements, and follow up simultaneously.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and appropriately handle sensitive employee information.
  • Proficiency with Microsoft Office and electronic recordkeeping systems.
  • HRIS experience preferred. Paycom experience is a plus.

Responsibilities

  • Send required leave notices, certification forms, workers’ compensation documentation, and other paperwork to employees.
  • Collect and track required documentation and follow up with employees regarding missing, incomplete, or overdue information.
  • Track certification deadlines, recertification dates, leave start and end dates, return to work dates, work restrictions, appointments, and other required follow up.
  • Maintain the company’s leave tracking sheet and provide weekly updates regarding active leaves, approaching deadlines, outstanding documentation, and anticipated return dates.
  • Coordinate return to work documentation and communicate appropriate status changes to HR, Benefits, and Payroll.
  • Track employee benefit premiums and arrears during leave and coordinate necessary payroll status information with Benefits and Payroll.
  • Provide administrative support when workers’ compensation and FMLA may overlap, ensuring documentation and relevant information are tracked and provided to the Benefits Manager for review.
  • Assist with workers’ compensation administration by reporting injuries, collecting documentation, tracking restrictions and appointments, and communicating with employees, managers, medical providers, and Sheakley.
  • Serve as an administrative point of contact for employees regarding paperwork, documentation requirements, deadlines, and status updates.
  • Provide professional and empathetic assistance to employees who may be experiencing medical or personal difficulties.
  • Identify missing documentation, approaching deadlines, inconsistencies, or other issues and elevate them promptly.
  • Maintain strict confidentiality regarding employee medical information and other sensitive information.
  • Perform other HR administrative responsibilities as assigned.

Leave and Workers’ Compensation Coordinator

The Leave and Workers’ Compensation Assistant provides administrative support for employee leave of absence and workers’ compensation claims. This position is responsible for keeping the process organized and moving by sending and collecting required documentation, tracking deadlines, maintaining accurate records, following up with employees, and providing regular status updates to the Benefits Manager and HR team.

This is an administrative and process focused position. The Assistant does not independently make FMLA eligibility determinations, ADA accommodation decisions, workers’ compensation determinations, or other complex leave decisions. Those decisions are made by the Benefits Manager or appropriate HR leadership.

Essential Responsibilities
  • Send required leave notices, certification forms, workers’ compensation documentation, and other paperwork to employees.
  • Collect and track required documentation and follow up with employees regarding missing, incomplete, or overdue information.
  • Track certification deadlines, recertification dates, leave start and end dates, return to work dates, work restrictions, appointments, and other required follow up.
  • Maintain the company’s leave tracking sheet and provide weekly updates regarding active leaves, approaching deadlines, outstanding documentation, and anticipated return dates.
  • Recognize employee communications or circumstances that may indicate a potential need for leave or workplace accommodation, even when the employee does not specifically mention FMLA or the ADA and immediately expand the situation to the Benefits Manager or appropriate HR leader.
  • Maintain accurate and confidential leave, medical, and workers’ compensation records.
  • Coordinate return to work documentation and communicate appropriate status changes to HR, Benefits, and Payroll.
