Leave Administrator - Human Resources
Job Summary

Leave Administrator: Advises employees and managers on the organization's leaveprograms, including maternity or paternity leave, medical ordisability leave, military leave, or unpaid leave. Analyzes leaveclaims or requests, determines employee eligibility, advisesmanagers of alternate work arrangements, and assists departmentswith employees' return of service. Records leaves in the HRISsystems as needed. Ensures compliance with internal and externalpolicies and regulations.

Answers incoming questions from employees and managers on theorganization's leave programs, including FMLA leave, paid parentalleave, medical leave, military leave, and non-health relatedleaves. Intakes leave requests and insurance claims (Workers'Compensation, Disability, and Life). Coordinates with employees,departments, and medical providers to obtain information to processleaves and claims. Refers employees to the Workplace AccommodationsTeam when necessary.

Enters leave-related data into the HRIS, payroll and/or leavesystem as needed. Performs work under supervision. Manages leaveand claim issues and problems and refers more complex issues tohigher-level staff. Possesses working knowledge of subject matter.Requires knowledge of leave laws (FMLA, USERRA, WC, etc.), basicskill set, and proficiency. Conducts work assignments asdirected.

This position is hybrid, so the incumbent will be required to workat least one day per week onsite, but will also be able totelecommute. An employee hired into this role who telecommutes willbe responsible for providing space, telephone, printing,networking, and/or internet capabilities at the telecommutelocation and sign the University of Utah TelecommutingAgreement.

Responsibilities
Leave Administrator, I

Provides frontline support for employees and managers on leave andrelated insurance programs, including FMLA, parental, medical,disability, military, and workers' compensation leaves. Processesleave requests and claims, determines eligibility, coordinatesrequired documentation, maintains leave records in HR systems,ensures compliance with applicable policies and regulations, andescalates complex cases as needed. Performs work under directsupervision. Handles basic issues and problems, and refers morecomplex issues to higher-level staff. Possesses beginning toworking knowledge of subject matter.

Requires a bachelor's (or equivalency) + 2 years of directlyrelated work experience or a master's (or equivalency) degree.

Leave Administrator, II

Advises employees andmanagers on the organization's leave programs, including maternityor paternity leave, medical or disability leave, military leave, orunpaid leave. Analyzes leave claims or requests, determinesemployee eligibility, advises managers of alternate workarrangements, and assists departments with employees' return ofservice. Records leaves in the HRIS systems as needed. Ensurescompliance with internal and external policies andregulations.

Performs work under general supervision. Handles moderately complexissues and problems, and refers more complex issues to higher-levelstaff. Possesses solid working knowledge of subject matter. Mayprovide leadership, coaching, and/or mentoring to a subordinategroup.

Requires a bachelor's (or equivalency) + 4 years or a master's (orequivalency) + 2 years of directly related work experience.

Leave Administrator I and II Department Specific Responsibilities
  • Sometimes relies on expertise of othersto solve problems.
  • Utilizes resources to solve problems and answerleave and claim related questions.
  • Responds to routine customerquestions in a timely manner.
  • May involve or elevate HR issues forresolution to others.
  • Proficient at primary functions of leavemanagement and understands the lifecycle of leaves and theimportance of completing assigned tasks.
  • Maintains accurate data andfiles.
Minimum Qualifications

EQUIVALENCY STATEMENT: 1 year of higher educationcan be substituted for 1 year of directly related work experience(Example: bachelor's degree = 4 years of directly related workexperience).

Department may hire employee at one of the following joblevels:

  • Leave Administrator, I: Requires a bachelor's (orequivalency) + 2 years of directly related work experience or amaster's (or equivalency) degree.
  • Leave Administrator, II: Requires a bachelor's (orequivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.

Work Schedule Summary: Monday through Friday, 8am – 5pmTheAbsence Management team in Human Resource Management currentlyworks a hybrid schedule with one day per week (Thursdays) on sitefrom our Downtown SLC office and the remaining days working remote.Work location expectations for Coordinated Services roleswill follow United University policy for remote, hybrid, and in-personwork arrangements and are subject to change based on the businessneeds of the unit.
