Job summary

Focus Property Management is seeking a detail-oriented Leasing Specialist to support the leasing department through administrative execution, phone support, and data tracking. This onsite role emphasizes organization, accuracy, and follow-through to ensure leasing activity is documented and analyzed.

You will engage with residents and prospects, handle lease changes, and assist with renewal processes while maintaining high performance standards in a fast-paced environment.

Position Summary

The Leasing Specialist is an office-based, operations-focused role that supports the leasing department through administrative execution, sales-related phone support, data tracking, and documentation.

While Leasing Agents focus on selling and closing, Leasing Specialists focus on execution, organization, and follow-through. This role ensures leasing activity is supported, documented, and tracked accurately.

This position is ideal for someone who thrives on structure, enjoys working with data and systems, and takes pride in keeping leasing operations running smoothly.

Sales Phone and Inquiry Support

• Answer general leasing-related phone calls
• Enter guest cards into the system for inquiry calls received by phone
• Support Leasing Agents by handling inbound sales overflow and basic leasing questions
• Provide required phone coverage between 8:30 AM and 3:30 PM

Lease and Resident Administration

• Add and remove residents from leases as needed
• Coordinate unit transfers and associated documentation
• File mailed-in leases and renewal documents
• Prepare and mail physical renewal letters
• Coordinate and assist with bad move-in situations caused by leasing errors

Data, Reporting and Revenue Support

• Track leasing activity and sales performance metrics
• Prepare daily performance recaps
• Update leasing bonus tracking spreadsheets weekly
• Assist leadership with basic data analysis and reporting
• Make approved market rent adjustments
• Update property page information to ensure accuracy and consistency

Performance Expectations

• Maintain a call quality score of 5.0 or higher
• Maintain zero errors in text and email communication
• Complete resident removals, additions, and transfers accurately and on time
• Complete bonus spreadsheet updates and daily recap communication on time
• Ensure 100% of mailed-in renewals and leases are scanned and filed by the 5th of each month
• Enter all guest cards into AppFolio by the end of each business day
