Job summary

Pennrose Management Company in New Jersey seeks an Administrative Leasing Associate to provide leasing and resident services support. You will greet prospects, conduct property tours, process applications, and help maintain accurate lease files while ensuring a welcoming environment.

This role requires high school diploma, customer service skills, ability to travel between properties, and proficiency with leasing software tools such as Yardi; weekend and holiday hours may be required.

Qualifications

  • High School Diploma or equivalent required.
  • 1 year of multi-family property management experience preferred.
  • Experience in affordable housing preferred.
  • Familiarity with LIHTC/Hope VI and HUD programs preferred.
  • Proficient in Yardi.
  • Proficient in Windows, Excel, and Outlook.
  • Excellent customer service skills.
  • Valid driver’s license and ability to travel between properties.

Responsibilities

  • Provides first-line customer service for residents and guests at Leasing Office.
  • Leads property tours and markets amenities.
  • Tracks referrals, walk-ins, and inquiries by phone.
  • Maintains reference book on features, rents, and promotions.
  • Coordinates leasing events and resident promotions.
  • Prepares leasing checklists and required documents.
  • Processes lease applications and maintains files.
  • Collects deposits and rents; delivers deposits to bank.
  • Uses maintenance software to log work orders.
  • Inspects apartments at move-in/out and turnover.
  • Prepares reports and tenant communications.
  • Supports management with annual recertifications.
  • Ensures compliance with housing laws and policies.

Job description

Overview

Responsible for providing administrative and leasing support for assigned property. Establishes inviting atmosphere for prospective residents andguests, andprovides superlative customer service to current residents. Maintains knowledge of Company’s policies and procedures, as well as applicable housing laws and regulations.

Pay range: $19 - $20/hour depending on experience

Responsibilities
  • Provides first-line customer service for prospective and current residents, as well as property guests. Maintains welcoming environment in LeasingOffice
  • Leads tours of property, showing vacant units and marketing propertyamenities
  • Tracks and follows up with all referrals, walk-ins, and phoneinquiries
  • Develops and maintains reference book detailing property’s unique features, amenities, size, vacancies, rental rates, and current leasingpromotions
  • Assists with developing and coordinating leasing events and resident promotionalactivities
  • Prepares leasing checklist and package which includes all required forms, deposits, schedules, andinformation
  • Processes lease applications
  • Completes and maintains lease files for each rental, and ensures all files contain required documentation outlined in the Resident File Setup
  • Collects rental deposits and rent. Delivers deposits to bank.
  • Utilizes maintenance software program to enter in and track workorders
  • Inspects apartments for move-in/out condition and turnoverstatus
  • Prepares and distributes required reports, monthly newsletters, tenant correspondence, etc.
  • Works with management to develop and implement residential programming, including special events and ongoing instructional and recreationalactivities
  • Assists Property Manager with annual recertification of eachresident
  • Visits comparable properties and assists Property Manager in preparing quarterly competitive marketanalysis
  • Remains current on and compliant with policies and laws affecting the marketing and leasing of the property, including the Company’s leasing agreement, Landlord Tenant code, Fair Housing laws, and other applicablelaws
  • Ordersoffice supplies and welcome gifts for new residents
  • Assists with the development and implementation of resident servicesprogramming
  • Maintains regular daily office hours, ensuring adequate coverage on weekends andholidays
  • Maintains strict adherence to invoice approval policy. Position does not have authority to purchase any goods orservices
Qualifications

Required Education and Experience:

  • High SchoolDiplomaor equivalent
  • 1 year experience in multi-family property managementpreferred
  • Experience in affordable housingpreferred
  • Experience with Low Income Housing Tax Credit Program and/or Hope 6preferred
  • Knowledge ofHUD programs including but not limited to HOPE 6 and project-based Section8
  • Proficiency in Yardi preferred
  • Proficiency in Microsoft Windows, including Microsoft Excel and Outlook
  • Excellent customer service skills
  • Requires a valid driver’s license, an insured vehicle, and the ability to travel (between properties)

Working Conditions:

  • Ability to work periodic flexible hours is required. Ability to travel by plane and automobile is required.
  • Ability to work at property locations within or near transitionalneighborhoods
  • Ability to climb stairs, take elevators, bend, squat and reachoverhead.
