Lease Administrator - Accounts Payable and General Ledger (Remote)

We are seeking a Lease Administrator for a large, global B2B high-tech company. This role involves supporting lease administration processes, ensuring compliance with lease terms, and facilitating rent payments. The position acts as a liaison between landlords, tenants, legal teams, and internal departments such as accounting and operations.

This is a 6-month contract (with extensions likely), requiring a 40-hour workweek. It is a remote role based in the US. The position is a W2 employment with Stage 4 Solutions, offering health benefits and a 401K plan.

Responsibilities
  • Ensure timely receipt of invoices and develop processes for processing payments for properties without invoices.
  • Review invoices against lease terms, gather supporting documentation, and verify calculations.
  • Process monthly rent payments promptly according to due dates.
  • Communicate with landlords regarding lease payments and resolve discrepancies.
  • Enter invoices into the system, update rent and operating expense data, and attach relevant documentation.
  • Prepare variance reports for rent and operating expenses as part of the approval process.
  • Conduct detailed reviews of annual reconciliations, including CAM, taxes, and insurance, ensuring accuracy.
  • Review and interpret lease documents, amendments, and renewals, coordinating translations if necessary.
  • Upload lease documents into the database with proper naming conventions.
  • Maintain accurate lease data, including changes to rent, expenses, and contact information.
  • Coordinate with stakeholders across multiple time zones to ensure timely lease activities.
Requirements
  • 3-5 years of experience in lease administration, accounts payable, and general ledger.
  • Ability to understand and interpret contract language.
  • Strong attention to detail.
  • Professional and courteous demeanor under stress.
  • Excellent communication skills, both verbal and written.
  • Experience with CoStar is a plus.
  • Proficiency in Microsoft Office Suite, especially advanced Excel skills.
