Job Summary
The Lease Administration Supervisor is responsible for overseeing the daily operations of the Prospect Lease Administration Team. This role involves managing team performance, ensuring key metrics are achieved, and providing motivation, recognition, coaching, and problem‑solving support. The Supervisor serves as the primary contact for escalated issues and ensures prospective residents receive exceptional service.
Key Responsibilities
- Lead and manage a team of Prospective Lease Administrators to facilitate administrative property management functions, including processing applications, credit and criminal checks, data entry in Yardi, and lease agreement generation.
- Drive performance and achieve move‑in goals by motivating the team to meet or exceed daily processing KPIs.
- Monitor and maintain departmental metrics by tracking and analyzing daily, weekly, and monthly performance; use data to provide feedback and coaching.
- Continuously evaluate and enhance systems and processes to optimize application productivity and improve resident and employee experiences.
- Leverage performance data to deliver constructive feedback and coaching to team members.
- Conduct training and quality assurance to maintain a high degree of customer service and competency in resident interactions.
- Ensure legal and regulatory compliance by reviewing policies and procedures related to lease administration.
- Assist with special projects or business assignments as needed, aligning with overall business objectives.
- Foster a high‑quality work environment by promoting team morale and performance.
- Serve as a support for the Customer Lease Administration Leadership inbox in collaboration with the Manager.
Qualifications
- High School diploma or GED required; Bachelor’s degree in Business Administration, Real Estate, Marketing, or related field preferred.
- Previous property management experience in a single‑family or multi‑family rental industry.
- Working knowledge of MS Word and Excel, with ability to use basic/moderate formulas.
- Proficiency in Yardi required, with 3‑5 years of prior experience in property management using Yardi and Salesforce.
- Strong organizational skills with exceptional attention to detail.
- Ability to thrive in a dynamic, fast‑changing, growth environment.

- Excellent oral and written communication skills.

- Bilingual in Spanish is a plus.

- Able to work independently with minimal supervision.
- Ability to work flexible shifts and hours, including weekends, to meet business demands.
