Job summary

Thermo Fisher Scientific is seeking a Dock Specialist to manage shipping and receiving operations at customer sites and internal warehouses. You will serve as the contact for customers and carriers, ensuring accurate documentation and on-time deliveries while upholding GMP and safety standards.

Qualifications

• Experience as a Shipping Coordinator or similar role in pharma/biotech preferred.
• Strong knowledge of domestic and international shipping regulations and hazardous materials handling.
• Proficient with shipping software (FedEx/UPS/DHL) and MS Office; ability to manage documents and records.
• Excellent organization, time management, and attention to detail; safe, compliant operations.
• Ability to lift and move heavy packages and operate pallet jacks/lift gates.

Responsibilities

• Coordinate shipments to sites and collaborators, ensuring regulatory compliance.
• Prepare shipping documents: bills of lading, labels, customs docs for accuracy.
• Coordinate with internal teams for shipment execution and scheduling.
• Communicate with freight forwarders and carriers; track shipments and on-time delivery.
• Maintain shipment records, tracking numbers, delivery confirmations.
• Monitor inventory of shipping supplies and reorder as needed.
• Identify and resolve shipping delays; stay updated on regulations and best practices.
• Contribute to development of shipping policies and SOPs.
• Provide regular shipping activity reports and risk/opportunity updates.

We’re seeking an organized Dock Specialist to manage shipping and receiving operations. You'll be the point of contact for customers and carriers, ensuring compliance and efficiency in all dock and shipping activities.

A day in the Life:

• Key Responsibilities:1. Coordinate and manage the shipment of materials to other sites and collaborators, ensuring compliance with all applicable regulations and guidelines.2. Prepare and review shipping documents, including bills of lading, shipping labels, and customs documentation, to ensure accuracy and completeness.3. Collaborate with internal teams to ensure proper coordination and execution of shipments.4. Communicate with internal and external partners, including freight forwarders and carriers, to schedule and track shipments, ensuring on-time delivery.5. Maintain accurate records of all shipments, including tracking numbers, delivery confirmations, and any relevant documentation.6. Monitor and manage inventory levels of shipping supplies, such as boxes, labels, and packing materials, ensuring adequate stock is maintained.7. Identify and resolve any issues or delays in the shipping process, working closely with internal and external stakeholders to find timely solutions.8. Stay up-to-date with relevant shipping regulations, guidelines, and industry best practices, ensuring compliance and continuous improvement.9. Assist in the development and implementation of shipping-related policies, procedures, and standard operating protocols.10. Provide regular reports and updates to management on shipping activities, including metrics, performance, and any potential risks or opportunities.

Qualifications:

• Experience as a Shipping Coordinator or similar role, preferably in a pharmaceutical or biotechnology industry. Strong knowledge of shipping regulations, including domestic and international requirements, customs procedures, and hazardous materials handling. Proficient in using shipping software and systems, such as FedEx, UPS, or DHL, to schedule and track shipments. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment. Attention to detail and accuracy, ensuring all shipping documents and records are complete and error-free. Effective communication and interpersonal skills, with the ability to collaborate and build relationships with internal and external stakeholders. Problem-solving and decision-making abilities, with a proactive approach to identifying and resolving shipping-related issues. Proficient in using Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications. Ability to lift and move heavy packages, as required.

• Keys to Success: Education High school diploma or equivalent required. Experience

• 3+ years of work experience in material handling: warehousing, shipping, and/or receiving is preferred

• Proven record of leading and mentoring teams, with experience in guiding peers

• DOT/IATA Certification preferred. Knowledge, Skills, Abilities

• Proficiency with Microsoft 365 applications (Excel, Outlook, Teams).

• Strong attention to detail, organizational skills, and a safety-first approach.

• Proficient in reading and interpreting shipping labels (DOT labeling), with the ability to be trained in the operation of pallet jacks and lift gates

• Excellent verbal and written communication skills in English. Physical Requirements / Work Environment

• The role primarily involves working independently at customer sites, which may include areas with chemical-based allergens like penicillin and tetracycline.

• Personal protective equipment, such as lab coats, coveralls, facemasks, and steel-toe shoes, is often required.

• The position requires regular lifting of 30-40 lbs (up to 50 lbs occasionally) and using equipment like pushcarts and forklifts to move up to 100 lbs.

• Standing, walking, reaching, and bending are frequent activities, sometimes in varied temperature environments.

• Overtime work may also be necessary.

Compensation and Benefits

The hourly pay range estimated for this position based in Massachusetts is $21.76–$28.30.
