Job Description

Job Summary

Provides day-to-day support to Patient Access Representatives, acting as a subject matter and technical expert. Ensures staff deliver a positive patient experience, demonstrating effective communication and customer service skills when interacting with staff, patients, families, and leadership. Responsible for training and educating staff to accurately enter orders, demographic, and insurance information, including authorizations, referrals, and medical necessity. Ensures compliance with departmental and institutional protocols, including communicating and collecting out-of-pocket liability from patients.

Essential Functions

  1. Interact with co-workers, visitors, and staff in alignment with Jefferson's values.
  2. Ensure timely, efficient, and accurate registration processes; stay current on insurance tip sheets and workflow updates.
  3. Meet regulatory and compliance requirements and adhere to departmental protocols.
  4. Distribute work assignments daily.
  5. Perform quality assurance on a sample of registrations to ensure accuracy, provide feedback, coach, and track performance improvements daily.
  6. Backfill for staff during meal breaks and cover scheduled or unscheduled absences as needed.
  7. Maintain a professional demeanor, fostering positive interactions with patients, families, coworkers, clinical staff, and leadership.
  8. Train new hires on accurate recording of orders, demographic, and insurance information, providing real-time coaching on workflow changes or quality errors.
  9. Achieve individual and team performance metrics.
  10. Interact with a diverse patient base while maintaining departmental standard wait times from door to doctor.
  11. Rotate assignments across all points of service within Patient Access, including Outpatient Registration and Emergency Department.

Knowledge, Skills, and Abilities Required

  • Knowledge of patient registration, third-party insurance coverage, including managed care plans, benefits, authorizations/referrals, and coverage requirements.
  • Proficiency with computers, Microsoft Office, and familiarity with healthcare EHR applications such as EPIC and Cerner.
  • Ability to provide effective feedback and coaching.
  • Strong verbal and written communication skills and customer service orientation.

Minimum Education and Experience Requirements

  • High School Diploma or GED required.
  • At least 3 years of patient registration experience.
