Job Summary:Full-Time Lead Medical Assistant at our Greenwich Office. This role provides administrative support to General Managers, Physicians, Physician Assistants, and Medical Assistants/LPNs by way of supervision and staff development to provide a professional and effective medical operation. Previous healthcare experience required.

Schedule: F ull time, 30+ hours. 2 days per week: 6:30am - 4:30pm, 2 days per week: 8am - 4pm, and one Saturday per month . Open Flexibility to help cover in a team environment is needed.

Lead Medical Assistant

  • Assist Office Management in successfully running the day-to-day clinical operations of their respective location by providing supervision and evaluation of day-to-day duties.
  • Work closely with management to execute all new protocols and assist with training needs. Works with General/Regional/Clinical Managers to provide onboarding planning, training, and continued education to all new and current assigned Medical Support Staff.
  • Ensure that all assigned Medical Assistants/LPNs follow company policies and protocols such as adhering to opening and closing checklist are being accounted for daily and properly.
  • Must exude a strong understanding of and enforce CLIA, OSHA and HIPAA regulations as well as report and help document any incidents to the respective office management.
  • Assist office management in supervising/finding coverage for necessary shifts should there be a support staff call out, emergency, or PTO taken; steps in and covers shifts on any emergency needs.
  • On a daily basis, scan all consumables and retail products to assist Office Management with always maintaining an adequate number; when needed, properly place orders via expense protocol for consumables and retail products.
  • Promote a professional and welcoming atmosphere that enhances the quality of service and care offered to patients and for respective provider.
  • Have a thorough working knowledge of all standard operating protocol and policies that pertain to the clinical department.
  • Have thorough knowledge of all clinical treatments to appropriately care for the patient’s needs. Proficient in pre-care and post-care treatment instructions. Fully understands provider to patient flow and anticipates provider’s next steps to the best of their ability.
  • Assist the physician in medical, cosmetic, allergy, and/or laser procedures. Preps exam rooms for all procedures and properly cleans exam rooms after every visit.
  • Properly assists provider in recording prescribed treatments, medications, lab requisitions, biopsies, cultures, photos, prescriptions, prior authorization, obtaining consents, and/or procedures within established guidelines.
  • Consistently maintain an adequate amount of medical supplies by executing weekly inventory counts, placing bi-weekly medical supply orders along with emergency orders as needed while always considering cost savings measures. Ensures all medical equipment is being properly maintained avoiding running out of key items, overspending or waste.
  • Work with Office Management to audit consumable tracker and laser logs on a weekly basis.
  • Responsible for auditing all specimen logbooks and lab tracker for respective location’s providers. Ensures all books are kept up to date and every provider and MA follow proper protocol.
  • Works with MAs, LPNs, and MA Floater to ensure all refill and prior authorization requests in combination with To Do tasks requests to ensure all items are being handled in a timely fashion at respective locations.
  • Properly cross trains to assist in covering the front desk during emergencies, as needed.
  • Oversee and ensure all required medical forms (written and/or electric) such as consents, EMR notes, lab results, etc. are organized and submitted with accurate data and in a timely manner.
  • Lead by example, maintains office presence and highest level of professionalism.
  • Must be open to handling any other duties not mentioned above to ensure proper support to the respective office.
  • Maintains effective and constructive communication with office management to instill company values, vision, and protocols in all associated colleagues and providers.

Qualifications

  • Healthcare experience required.
  • Experience using EMR software and patient scheduling systems preferred.
  • Must be computer savvy and familiar with Microsoft Word, Excel, and Outlook.
  • Strong communication, interpersonal, and organizational skills.
  • Excellent patient relation and customer services skills.
  • Must be professional, reliable, and dedicated employee.
  • Must have strong critical thinking, problem resolution skills and be a great multitasker.
  • Prefer prior experience working in a dermatology/medical/cosmetic environment.
  • Medical Assistant Certified strongly encouraged.
