Job summary

The Missouri Department of Corrections is seeking an experienced Administrative Support Assistant to oversee a large office, coordinate staff, and ensure efficient daily operations. You will apply agency policies, produce reports, and support budgeting, purchasing, and personnel tasks.

A high school diploma or equivalency is required, with substitution options for vocational training or college credits. This role offers growth within a state agency and benefits.

Qualifications

  • One or more years of experience as an Administrative Support Assistant (SOSA) under MOSP, or four+ years of related clerical work with a diploma/equivalency.
  • Substitution options include vocational/business school training in Office Management or college credit hours.
  • Must meet all requested documents and closing date requirements.

Responsibilities

  • Direct and coordinate activities of a large office staff through supervisors.
  • Apply technical knowledge to organize and implement program activities.
  • Prepare/review/post/process fiscal, payroll, personnel, and purchasing documents.
  • Recommend policy changes and ensure proper implementation in the unit.
  • Track budgets and generate ad hoc reports and spreadsheets.
  • Draft correspondence interpreting agency rules and respond to inquiries.
  • Exercise independent decision making with general supervision.

  • Serves as office manager directing a variety of support functions; plans/assigns/directs/coordinates the activities of a large office staff directly or through supervisors/exercises delegated authority in the selection/training/assignment/evaluation of employees
  • Performs independent functions; application of technical expertise/specialized program knowledge/ organizes/implements program activities/confers with management regarding program status and issues
  • Provides complex administrative assistance/represents the supervisor at staff or other meetings/ recognizes manager’s and staff priorities/schedules meetings/coordinates logistical arrangements for program, agency, inter-agency efforts
  • Oversees/ensures the accurate, timely preparation/review/posting/processing of a variety of fiscal, payroll, personnel, purchasing, and related documents
  • Recommends changes in operational policies/procedures for approval by supervisor/prepares and communicates instructions/directives regarding changes and clarification of policy/ensures policies and procedures are properly implemented in the unit/section supervised
  • Tracks/monitors assigned operating unit budgets/spending plans; researches and/or collects, assembles, and summarizes financial/statistical information; researches assigned issues/compiles pertinent program or fiscal information/prepares complex ad hoc reports/spreadsheets/databases
  • Composes/drafts correspondence involving the interpretation of agency rules/regulations/program responsibility and responds to inquiries from state officials/customers/vendors/the public regarding agency matters; investigates/recommends corrective action to resolve customer complaints
  • Exercises independence in decision making based on agency operations/policies/procedures; receives general supervision from an administrative supervisor who makes assignments based on desired objectives and reviews work for achievement of results and performs other related work as assigned

Minimum Qualifications:

One or more years of experience as an Administrative Support Assistant (SOSA) with the Missouri Uniform Classification and Pay System; and possession of a high school diploma or proof of high school equivalency OR

Four or more years of office or related clerical experience; and possession of a high school diploma or proof of high school equivalency.

(Training from an accredited vocational or business school in Office Management, Secretarial Science, or a closely related field may substitute on a year-for-year basis for the required experience at a rate of 30 earned credit hours, or 480 clock hours, for one year.)

(Earned credit hours from an accredited college or university may substitute on a year-for-year basis for the required experience at a rate of 30 earned credit hours for one year.)

Contingent upon your position, you may also be eligible to receive:

  • A $2.00 per hour shift differential if you are assigned to a shift that begins on or between 12:00pm (noon) and 5:00am and are employed at a 24/7 congregate care facility (i.e. institution, transition center, supervision center, or command center).
  • A $0.75 per hour medium security or $1.50 maximum security differential if you work full-time at a qualifying facility.
  • A $1.00 per hour restrictive housing differential if you are assigned a regular post within a restrict housing/segregation unit at any facility.

The Department of Corrections currently offers a guaranteed 1% pay increase for every two years of continuous service up to 20 years!

If you are transferring from another State of Missouri agency and are receiving state retention pay, please be advised that the Missouri Department of Corrections administers retention based upon your retention anniversary date. As a result, your retention pay upon transfer may differ from what you were receiving at your previous agency until you reach your applicable retention anniversary date.
