POSITION DESCRIPTION

Position: Landlord-Tenant Data and Software Specialist I

Supervisor: Senior Manager of Landlord-Tenant Services

Location: Mt.Scott Office - 7916 SE Foster Rd. Portland, OR 97206; mostly off-site home-office work (remote)

Hours: Monday - Friday, some evening and weekend work required

Wage: $29.00 hourly -Eligible for Language Differential

GENERAL RESPONSIBILITIES

Work as part of the Landlord-Tenant Services team to provide technical assistance and problem-solving support to Rent Well eCourse staff and students to successfully complete the tenant education course and continue their journey to find stable housing. This position will also help to maintain the Rent Well eCourse user data, systems, and software, including some systems administration tasks. One of the key aspects of the role is to troubleshoot any technical performance issues that users of the Rent Well software (eCourse/Learning Management System, mobile app, FreshDesk helpdesk system, and websites) commonly struggle with. This position will also serve as a primary point of contact for department staff and the third-party tech agencies that the program contracts with. This is a permanent, full-time, non-exempt, represented position.

SPECIFIC RESPONSIBILITIES

  1. Manage user accounts.
  2. Interface with consultants and vendors to serve as one of the primary points of contact for drafting technical communications regarding software improvements, enhancements, or needed upgrades.
  3. Follow up with invested parties regularly until issues are resolved.
  4. Assist with system-specific training when new systems are implemented.
  5. Follow secure network practices.
  6. Review and respond to bug and other error inquiries promptly and accurately.
  7. Generate user and program-related reports regularly for monitoring and reporting purposes.
  8. Effectively and efficiently recreate user experiences, offer practical resolutions for temporary solutions, and note ongoing issues.
  9. Assist in quality assurance processes, such as, but not limited to, document and material review.
  10. Provide technical support and assistance to end users by answering helpdesk tickets as needed.
  11. Provide technical guidance and mentoring to staff and other team members when needed.
  12. Update and maintain software documentation, records, and manuals.
  13. Assist in grant reporting requirements and data collection processes.
  14. Attend agency meetings on a regular basis.
  15. Other duties as assigned.

PERFORMANCE REQUIREMENTS

Each Transition Projects employee must:

  1. Acquire First Aid/CPR/AED certification within 30 days of hire and be retested biannually thereafter throughout employment.
  2. Complete Bloodborne Pathogens and Narcan Training within 30 days of hire and be retested annually thereafter throughout employment.
  3. Demonstrate reliability by being present for work as scheduled, arriving and leaving on time and taking breaks in expected time frames.
  4. Interact effectively with persons of diverse ethnic backgrounds, religious views, cultural backgrounds, and sexual orientations and treat each individual with respect and dignity.
  5. Attend agency and program staff meetings.

PHYSICAL/MENTAL REQUIREMENTS

The physical and mental demands described here are representative of those that must be met by an employee, with or without accommodation, to perform the essential functions of this job successfully.

  1. Hearing and vision adequate for interaction with participants, interaction with staff, and interaction with the public.
  2. Hearing adequate for telephone work. Vision sufficient for close work.
  3. Hand and finger dexterity adequate to operate standard office equipment.
  4. Ability to perform CPR and other emergency life-saving care with the assistance of teammates until emergency responders arrive.
  5. Ability to move items weighing up to 50 pounds.

MINIMUM QUALIFICATIONS

The right individual for this position has a passion for helping others and a desire to work in an organization that serves people experiencing poverty and homelessness.

  1. Prior experience working with individuals who are homeless/low-income, lived experience, or being a Rent Well graduate or instructor is notable but not a requirement.
  2. Bachelor’s degree + 2 years of experience in IT/Software OR 3 years of experience in IT/Software.
  3. At least two current technology certifications preferred.
  4. Has or will have a basic home office set up for remote work: desk, chair, dependable and strong internet service.
  5. Has a clear understanding of software testing and debugging techniques and tools, as well as an awareness of software security and quality standards.
  6. Requires minimal supervision. Able to think analytically and work independently on projects, from conception to completion.
  7. Has the ability to assess a situation and take corrective action as necessary appropriately.
  8. Excellent written and verbal communication and team collaboration skills.
  9. Comprehensive knowledge of Office 365 programs, such as Outlook, Word, Teams, and Excel.
  10. General knowledge of FreshDesk, CornerStone OnDemand Learning Management System, Asana Program Management System, Wordpress, HTML, and CSS.

ABOUT THE TEAM

As mentioned before, this position's home department would be the Landlord-Tenant Services Team. This team is comprised mainly of positions working closely on the Rent Well tenant education program, helping tenants understand their rights and responsibilities. The team is a smaller department within the agency and will have less than 10 individuals on it.
