Responsibilities

  • Assist in processing returned royalty checks and routing undeliverable Division Orders.
  • Perform basic data entry of owner names, addresses, and account changes into Land System.
  • Identify key ownership documents such as leases, W-9s, and Division Orders.
  • Support scanning, filing, and archiving of documents in the retention system.
  • Prepare and mail basic form letters using standard templates.
  • Track received documents and update project logs under supervision.
  • Participate in training to develop foundational knowledge of land admin and ownership principles.
  • Escalate unclear or complex ownership issues to Admin II or Coordinator II.
  • Help organize files and storage boxes for audits or offsite storage.
  • Maintain attention to detail when entering information or preparing correspondence.

Job description

Serves as frontline liaison between the company and royalty/interest owners. Responds to inquiries, processes ownership and payment updates, and maintains owner-related records in compliance with legal and company standards. Ensures owner data integrity and supports Division Order, Land Operations, Lease Records, and accounting teams by coordinating accurate ownership information, documentation, and communication. Performs all responsibilities with a focus on accuracy, professionalism, and responsiveness. This position is located in Downtown Houston, TX. Hybrid work schedule is an option for remote work on Mondays and Fridays. Level and salary commensurate with experience.

Essential Job Functions
  • Assists in processing returned royalty checks and routing undeliverable Division Orders
