Position Overview

The Creative Production Coordinator is the backbone of Set Active's creative production process, driving seamless execution from talent sourcing through post-production asset delivery. Reporting directly to the Creative Manager, this role manages logistics, vendor relationships, and on-set operations to ensure smooth, efficient, and high-quality photo shoots aligned with our brand vision.


Key Responsibilities

Talent & Crew Management

  • Talent Sourcing: Build and maintain a robust model Rolodex; conduct outreach to agencies for upcoming shoot packages.
  • In-Person Castings: Coordinate and host in-office or location castings for campaign and e-commerce needs; capture standardized casting images (front, side, back, video) across fabrics and colorways.
  • Model Bookings: Negotiate rates and usage terms with agencies; confirm and finalize bookings based on approved selections; manage talent onboarding paperwork and ensure compliance.
  • Crew & Freelance Sourcing: Identify and source freelance talent including photographers, HMUAs, stylists, retouchers, and production assistants.
  • Crew & Freelance Bookings: Negotiate rates and usage, confirm bookings, and communicate all shoot logistics with freelancers and crew.
  • Freelance Onboarding: Ensure all external partners complete necessary onboarding forms and comply with company policies.

Pre-Production Coordination

  • Location Sourcing: Research, negotiate, and present location options with pricing and logistical details; coordinate internal approvals.
  • Run of Show: Build detailed, time-blocked shoot day schedules to maximize efficiency and alignment.
  • Call Sheets & Communication: Create and distribute comprehensive call sheets for all shoots, ensuring all team members and talent are aligned on timing, objectives, and logistics.
  • Shoot Lists: Develop e-commerce and campaign shoot lists detailing product pieces, pairings, and shot requirements in partnership with the Creative Manager.

On-Set Support

  • Photo Shoot Support: Provide hands-on assistance during shoots including product transport, unpacking, and styling coordination.
  • Styling Kit & Accessories: Maintain and organize on-set styling kit including shoes, accessories, and tools; ensure items are shoot-ready and aligned with fashion boards.
  • Props & Styling Pieces: Source or coordinate rental/purchase of props and styling elements; manage logistics including tracking, returns, and cost control.
  • Fit Management: Track and maintain fit accuracy across models to ensure consistency and product integrity throughout the shoot.

Production Logistics

  • Photo Shoot Packing: Lead packing and preparation of samples, accessories, and styling kits; create and QA packing lists; delegate and oversee intern support as needed.
  • Invoicing: Manage invoice collection from freelancers and vendors; route for billing and ensure timely payment follow-up.

Post-Production & Asset Delivery

  • Retouching: Oversee retouching rounds with offshore partners for e-commerce and campaign imagery; support additional creative retouching needs.
  • Post-Mortem Reports: Draft and send shoot recap emails documenting successes, challenges, and proposed solutions to improve future processes.
  • Asset Organization: Organize and maintain final assets in SharePoint or designated platforms; communicate delivery and storage updates across teams.

Additional Responsibilities

  • Trend Reporting: Own the creation and distribution of monthly fashion and creative trend reports to inform upcoming shoot directions.
  • Intern Delegation: Oversee daily intern tasking, provide training and clear process documentation, and QA work quality while keeping the Creative Manager informed.

Qualifications

  • 1-3+ years experience in creative production coordination, fashion operations, or related roles within e-commerce, lifestyle, or fashion brands.
  • Proven experience managing model casting, talent and freelance bookings, and shoot logistics preferred.
  • Strong organizational skills with meticulous attention to detail and ability to manage multiple projects simultaneously.
  • Excellent interpersonal and negotiation skills, comfortable liaising with agencies, talent, freelancers, and internal teams.
  • Tech-savvy with proficiency in Microsoft Office, Google Workspace, Slack, and asset management platforms (e.g., SharePoint).
  • Passion for fashion, trends, and visual storytelling in the lifestyle and athleisure space.
  • Ability to work independently and collaboratively in a fast-paced startup environment.
  • Comfortable working onsite during shoots and lifting product/kits as needed.
