Jr. Specialized Administrative Support Officer

The Opportunity:

The Junior Specialized Administrative Support Officer will provide essential administrative support to a designated work unit, project, or program. This role involves coordinating daily activities, managing workflows, and ensuring efficient operations. The ideal candidate will be eager to learn and develop their skills while working under general supervision and taking initiative as needed. Physical requirements include the ability to handle items weighing up to 50 pounds.

Key Responsibilities:

  1. Administrative Workflow Support:
    1. Assist in managing the administrative workflow and daily activities of a work unit.
    2. Maintain schedules of appointments and monitor communications (email and phone) for managers and officers.
    3. Coordinate and assist in planning, scheduling, and executing meetings, conferences, and events, serving as a recorder or representative as guided.
    4. Draft, proofread, and edit office correspondence and routine documents.
    5. Organize and archive office files for easy retrieval and maintain relevant reference materials.
    6. Greet and escort visitors, ensuring a professional office atmosphere.
  2. IT Integration Support:
    1. Execute time and attendance recording and learn troubleshooting techniques.
    2. Administer and update databases and office systems, including website management and report generation.
    3. Coordinate travel logistics, including itineraries and necessary documentation.
    4. Monitor inventory of office supplies and equipment, ensuring timely orders and basic repairs.
  3. Process/Workflow Management:
    1. Assist in planning, organizing, and executing routine steps in various processes, tracking statistics and metrics related to supported projects.
    2. Prepare and analyze reports, summarizing data and providing insights for decision-making.
    3. Maintain assignment-specific databases and prepare status reports.
  4. Quality Assurance:
    1. Review process documentation for accuracy and compliance with established regulations and policies.
    2. Troubleshoot and quality-check work to ensure the effectiveness of administrative products and services.
    3. Share best practices in administrative processes and support continuous improvement.
  5. Physical Requirements:
    1. Physical requirements include the ability to handle items weighing up to 50 pounds.

Qualifications:

  1. Experience: Minimum of two years of experience in administrative roles.
  2. Education: HS Diploma
  3. Technical Proficiency:
    1. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    2. Experience with government purchasing systems and procedures.
  4. Skills:
    1. Strong organizational, communication, and multitasking skills with an ability to prioritize tasks.
    2. Ability to assess information from multiple sources and develop actionable recommendations.
    3. Experience managing project schedules and deliverables.
    4. Knowledge of human resource functions, including onboarding, timesheets, and performance management.

Pay Range: The proposed salary range for this position is $35,776-$65,300. There are a host of factors that can influence final salary including, but not limited to, geographic location, Federal Government contract labor categories and contract wage rates, relevant prior work experience, specific skills and competencies, education, and certifications.
