Job summary

Jet Aviation Staffing, on behalf of our external client, seeks a Flight Operations Assistant to join a busy Part 91 flight department in Bedford, MA. You will report to the Manager of Flight Operations and work with the Flight Operations Coordinator to support day-to-day operations.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple schedules in a fast-paced environment. Proficiency in Microsoft Office and aviation coordination experience are preferred.

Qualifications

• Detail-oriented, with the ability to function well under pressure.
• Fast response times to last-minute jet requests and trip changes are required.
• Strong ability to multitask.
• Capacity to adapt to a fast-moving environment with changing priorities.
• Ability to communicate effectively.
• Experience with aircraft scheduling/dispatch/charter operations preferred.
• Proficiency in Microsoft Office Suite required.

Responsibilities

• Schedule Company aircraft to support travel for executives
• Coordinate changes in the itinerary or passenger manifest
• Confirm ground transportation for each flight
• Ensure that passengers have current passports and visas required for international travel
• Confirm crew availability
• Provide ongoing liaison with executive assistants regarding jet availability and flight activity
• Flight-follow aircraft during normal business hours
• Formulate contingency plans for mechanical and weather delays
• Participate in all flight scheduling meetings
• Report on potential scheduling conflicts to the Manager of Flight Operations
• Provide on-call (remote) scheduling support when assigned during non-business hours, weekends, and holidays
• Request quotes for charter aircraft if Company aircraft are all in use
• Manage charter trips once booked
• Generate flight reports
• Assist in reviewing monthly billing for trip and aircraft expenses
• Assist in coding each flight to the correct billing entity
• Maintain and update the Aircraft Emergency Response Plan
• Perform administrative duties for other departments if needed

Flight Operations Assistant

Bedford, MA

On behalf of our external client, we are seeking a Flight Operations Assistant to join their busy Part 91 flight department based in Bedford, MA. Reporting directly to the Manager of Flight Operations, the Flight Operations Assistant will work closely with the Flight Operations Coordinator and Company executives to support the department’s day-to-day operations.

The position requires excellent organization, attention to detail, discretion, communications skills, and the ability to manage multiple priorities in a fast-paced environment where schedules can change with little notice.

Compensation Data

The likely salary range for this position is $60,000 - $80,000. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly other requirements.
