Working Conditions
- Work Schedule: 5 hours a day (typically 10:00 a.m. to 4:00 p.m., with a 1-hour unpaid lunch), Monday to Friday.
- Hybrid Work: Minimum 3 days per week in the office.
Key Responsibilities
Administrative Support (30%)
- Serve as the first point of contact for the office, greeting visitors, answering calls, and managing emails.
- Coordinate meetings and events, ensuring logistical arrangements are handled efficiently.
- Support office setup, maintain supplies, and manage inventory.
- Organize and maintain physical and digital filing systems.
- Prepare internal communications and assist with travel arrangements.
- Support office maintenance and general administration of events and moves.
Finance and Accounting Support (30%)
- Collaborate with the head office and finance team on accounting transactions.
- Assist with accounts payable/receivable, invoice processing, and financial reporting.
- Coordinate with vendors and manage financial documents, ensuring compliance with regulations.
- Reconcile credit card transactions, prepare expense reports, and manage royalty reports.
Sales Assistant (40%)
- Support sales team with proposals, contracts, and presentations.
- Coordinate communication with clients and internal teams.
- Maintain a client database and assist with sales strategies.
- Provide basic translation between Japanese and English for documents and audiovisual content.
- Maintain sales documents and assist in reporting for programs and formats, including the North American television industry.
Qualifications
- 3-5 years of experience in general affairs, AP/AR, or sales support roles.
- Experience in Japan and the U.S. preferred.
- Bachelor's degree in Business, Finance, Marketing, or related field, or equivalent experience.
- Fluency in Japanese and English (reading, writing, speaking).
- Familiarity with Los Angeles area logistics and business environment.
- Proficiency in Microsoft Office; familiarity with QuickBooks is a plus.
- Excellent communication skills and cultural sensitivity.
- Strong attention to detail, independence, and problem-solving skills.
- Interest in Japanese and American television and entertainment industry; prior experience not required.
