Job summary

OU Health Partners is seeking an IVF Navigator in the Reproductive Medicine department to coordinate ART patient appointments and plans of care, ensuring timely testing, documentation, and FDA compliance for third-party reproduction.

You will manage communications with patients via phone, MyChart, and virtual visits, coordinate prescriptions, and maintain Epic documentation while delivering best-in-class patient service.

Qualifications

• High School Diploma or GED required.
• At least 3 years providing administrative support to IVF patients.
• Excellent communication and organizational skills.
• Familiarity with Epic or similar EHR system.

Responsibilities

• Coordinate ART patient appointments, including IVF, egg freezing, and related procedures.
• Serve as primary coordinator for each patient’s ART plan of care.
• Track patient progress and ensure completion of required testing and clearances.
• Coordinate prescription orders with in-clinic pharmacy and ensure timely delivery.
• Maintain professional relationships with patients and provide updates via phone, MyChart, and virtual visits.
• Respond promptly to patient inquiries to ensure continuity of care.
• Order routine lab testing and medications per physician orders and insurance protocols.
• Verify FDA requirements for third-party reproduction and ensure timelines are met.
• Act as liaison among physicians, embryologists, and lab personnel for coordinated care.
• Observe patient status and communicate findings to supervising physicians.
• Maintain ART documentation in Epic and related records.
• Provide exceptional service to patients and families.
