Qualifications

  • Associate degree or equivalent experience expected; business/IT/operations field preferred.
  • Experience in IT operations, service coordination, inventory management, or related ops.
  • Experience with ticketing systems, reporting tools, documentation platforms, or workflow management systems preferred.
  • Experience coordinating projects, following up actions, and working with multiple teams preferred.
  • Experience in a service-focused, technical, or customer-oriented environment preferred.

Responsibilities

  • Coordinate IT operations and act as a key liaison among ITSG Service, Distribution Center, internal teams, and vendors.
  • Oversee hardware fulfillment, device lifecycle, and asset records.
  • Support onboarding/offboarding, reports, dashboards, and workflows.

  • Partner with stakeholders to implement best practices and standardize processes.
  • Lead approved operational projects from planning through implementation and tracking.

Job description

Position Summary

The ITSG Operations Specialist is a highly collaborative role that helps keep our IT Services Group running smoothly and efficiently. This position is responsible for coordinating operational processes, supporting inventory and hardware fulfillment activities, managing operational systems, partnering with vendors, and leading key operational projects.

As an important partner to IT leadership and cross-functional teams, you'll play a direct role in improving processes, enhancing the employee experience, and driving operational excellence. We're looking for someone who enjoys staying organized, solving problems, building relationships, and finding ways to make great processes even better.

What You’ll Do

IT Operations Coordination

  • Serve as a key point of contact between ITSG Service, the Distribution Center, internal teams, and vendors.
  • Coordinate hardware fulfillment, device lifecycle activities, and operational requests to ensure a seamless experience.
  • Monitor inventory levels, support purchasing activities, and maintain accurate asset records.
  • Manage onboarding and offboarding processes, reporting, dashboards, and operational workflows.
  • Help identify operational challenges and recommend solutions that improve efficiency and service delivery.
  • Ensure tasks, deliverables, and operational priorities are completed accurately and on time.

Operational Efficiency & Process Improvement

  • Continuously look for opportunities to improve workflows, streamline processes, and enhance the customer experience.
  • Maintain and update operational documentation and procedures.
  • Support standardization efforts that promote consistency and operational excellence across the team.
  • Partner with stakeholders to implement process improvements and best practices.

Vendor Management & Auditing

  • Coordinate vendor-related activities, including order follow-up, documentation management, and issue resolution.
  • Perform audits of vendor costs, service utilization, and asset allocations to ensure accuracy.
  • Investigate discrepancies, document findings, and provide recommendations for improvement.
  • Support vendor reviews, renewals, and operational planning efforts.
  • Assist with gathering and analyzing information to help drive informed business decisions.

Project Coordination

  • Lead approved operational projects from planning through implementation.
  • Coordinate timelines, deliverables, stakeholder communication, and project priorities.
  • Proactively identify and resolve obstacles to keep projects moving forward.
  • Document project outcomes, lessons learned, and process improvements.
  • Escalate strategic, contractual, or financial concerns when appropriate.

Operational Systems & Workflow Support

  • Support the day-to-day administration and effectiveness of IT operational systems and workflows.
  • Perform system maintenance, data management, configuration updates, and customer offboarding activities.
  • Identify opportunities to improve system efficiency, workflow performance, and data quality.
  • Collaborate with internal teams and system owners to support enhancements, testing, and issue resolution.
  • Evaluate operational requests and determine the appropriate next steps while escalating technical concerns when needed

Education & Experience
  • Associate degree in Business, Information Technology, Operations, or a related field preferred; equivalent education and experience will be considered.
  • Experience in IT operations, service coordination, inventory management, administrative support, purchasing, or related operational functions preferred.
  • Experience with ticketing systems, reporting tools, documentation platforms, or workflow management systems preferred.
  • Experience coordinating projects, managing follow-up actions, and working across multiple teams preferred.
  • Previous experience in a service-focused, technical, or customer-oriented environment preferred.
