About The Opportunity

The ITAM Analyst III – Software Asset Management supports Client's Software Asset Management modernization by managing and improving software contract, entitlement, renewal, usage, ownership, compliance, and vendor data. This role supports software cost optimization, tool rationalization, governed intake, renewal readiness, audit preparation, vendor governance, SAM reporting, and CMDB alignment.

The Analyst III helps ensure software assets are visible, governed, cost-effective, compliant, and aligned to enterprise technology standards. This role partners with ITAM, Procurement, Finance, Security, Legal, Workforce, Endpoint, Support Center, Product, application owners, and vendors to improve software lifecycle governance, reduce unmanaged renewals, support self-service software access, strengthen CMDB alignment, and improve leadership visibility through reliable reporting.

The Analyst III is expected to analyze software data, identify trends and risks, recommend improvements, coordinate with stakeholders, support complex renewals and software reviews, and help improve SAM processes and controls.

The role also requires curiosity and a commitment to keeping up with evolving technology, including SAM platforms, SaaS management tools, Flexera capabilities, automation, AI-enabled productivity tools, software metering, entitlement normalization, CMDB integration, and software governance best practices.

In addition to its primary SAM focus, this role provides Hardware Asset Management (HAM) support at the Reston, VA office, including hardware moves, shipping/receiving coordination, inventory reviews, device recovery efforts, and related physical asset activities.

Operational Requirement
  • Ability to support technology inventory reviews, software true-up activities, audit evidence preparation, vendor data validation, renewal reviews, software utilization analysis, and special projects.
  • Ability to support hardware-related activities where software entitlement, device assignment, or endpoint software deployment data is required.
  • Ability to participate in onsite meetings, vendor reviews, audits, operational activities, or cross-functional working sessions as needed.
  • Ability to manage multiple workstreams, prioritize effectively, and elevate risks or blockers before they impact delivery.
Physical / Operational Requirement – HAM Support
  • Ability to lift, carry, and move technology equipment weighing up to 50 lbs to support shipping and receiving of hardware.
  • Ability to support hardware moves, refresh activities, shipping and receiving coordination, inventory reviews, audits, device recovery efforts, and special projects.
  • Ability to provide off-hours support as needed for hardware moves, refreshes, audits, urgent asset activities, recovery escalations, or special projects.
  • Ability to participate in onsite meetings, vendor reviews, audits, and operational activities at the Reston, VA office as needed.
In this role, you will:
  • Manage and improve software asset management activities across the full software lifecycle, including intake, request, approval, procurement support, assignment, entitlement tracking, renewal, reclamation, retirement, and compliance review.
  • Maintain accurate software asset records, including licenses, entitlements, subscriptions, renewals, service agreements, contracts, warranties, vendor contacts, application owners, ownership fields, usage data, and lifecycle information.
  • Track and update software ownership, usage, assignment, entitlement, renewal status, contract terms, license type, and compliance status to improve visibility and governance.
  • Analyze software asset data to identify unused licenses, duplicate applications, renewal risks, data gaps, compliance issues, shadow IT indicators, and cost optimization opportunities.
  • Support software request and fulfillment processes by validating entitlement availability, approval status, licensing requirements, ownership, compliance restrictions, and provisioning readiness.
  • Perform software license reconciliation, usage review, exception reporting, audit evidence gathering, and SLA Health Check activities.
  • Generate and distribute software reports, compliance reports, renewal reports, usage reports, lifecycle status reports, vendor performance reports, and trend analyses to support decision-making across ITAM and Technology teams.
  • Identify software eligible for reclamation, reuse, renewal adjustment, retirement, consolidation, rationalization, or cost optimization.
  • Support vendor governance activities, including software catalog updates, renewal tracking, SLA review, billing accuracy reviews, contract validation, vendor performance reporting, and service performance reporting.
  • Collaborate with ITAM, Procurement, Finance, Security, Legal, Workforce, Endpoint, Support Center, Product, application owners, and vendor teams to resolve software asset issues and improve lifecycle processes.
  • Maintain and improve processes related to software asset management, software compliance, CMDB alignment, vendor governance, software intake, and audit readiness.
  • Identify process gaps and recommend improvements that reduce manual work, improve software data quality, increase automation, and strengthen license governance.
  • Support high-risk vendor and software title reviews by validating licensing compliance, renewal readiness, ownership, usage, security review status, and shadow IT exposure.
  • Keep up with emerging technology, SAM best practices, automation tools, AI-enabled solutions, SaaS management trends, CMDB practices, and software governance capabilities.
  • Contribute to knowledge base articles, process documentation, standard operating procedures, software request guides, reporting guides, and training materials.
  • Provide high-quality internal customer support when responding to software-related requests, incidents, escalations, and inquiries.
  • Provide support for software renewals, audits, true-ups, reclamation efforts, vendor reviews, reporting requests, and special projects as required.

Key Responsibilities

Responsibility #1: Software Asset Lifecycle Operations and Data Accuracy — 30%

  • Maintain accurate software asset records across the full lifecycle, including intake, procurement support, approval, assignment, renewal, reclamation, retirement, and compliance review.
  • Track software ownership, application owner, vendor, license type, entitlement, subscription term, renewal date, usage status, contract status, and related software asset information.
  • Perform software asset reconciliation and resolve data discrepancies across systems, reports, tickets, vendor records, procurement files, contract records, CMDB records, and usage dashboards.
  • Analyze software asset data to identify trends, risks, gaps, unused licenses, duplicate tools, upcoming renewals, compliance issues, and opportunities for optimization.
  • Support software lifecycle stages, including request, approval, procurement support, provisioning coordination, license assignment, renewal, reclamation, retirement, and exception handling.
  • Execute and improve processes related to software asset management, software catalog accuracy, license compliance, renewal readiness, and lifecycle governance.
  • Support end users, managers, application owners, and support teams with software asset-related inquiries, ticket updates, entitlement questions, and escalation support.
  • Support special software programs, renewal activities, true-ups, audits, reclamation campaigns, application rationalization efforts, and other business priorities as needed.

Responsibility #2: Software Licensing, Renewals, Compliance, and Optimization — 30%

  • Track software licenses, subscriptions, entitlements, renewals, service agreements, contracts, maintenance terms, and vendor obligations.
  • Perform software license reconciliation, normalization, usage analysis, entitlement validation, and compliance review activities.
  • Monitor upcoming renewals and partner with Procurement, Finance, Legal, Security, application owners, and vendors to support timely renewal decisions.
  • Identify underused, unused, duplicate, expired, over-provisioned, or non-compliant software assets and recommend corrective actions.
  • Support software reclamation efforts by identifying inactive users, validating license usage, coordinating removal or reassignment, and updating software records.
  • Support software request processes by confirming license availability, approval requirements, compliance restrictions, and assignment status.
  • Help maintain a software catalog that supports clear request paths, approved applications, ownership, licensing requirements, and renewal visibility.
  • Contribute to cost optimization by improving software utilization, reducing unnecessary renewals, and supporting consolidation or retirement of redundant applications.

Responsibility #3: Audit, Compliance, Reporting, Vendor Governance, and CMDB Alignment — 25%

  • Support software audit readiness through evidence gathering, license reconciliation, exception tracking, control validation, and reporting.
  • Perform SLA Health Checks and remediation follow-up for software asset control gaps, entitlement discrepancies, renewal risks, and compliance exceptions.
  • Generate recurring reports on software inventory, license utilization, renewal status, entitlement accuracy, vendor performance, billing accuracy, compliance status, and software exceptions.
  • Support vendor governance activities, including software catalog maintenance, contract review, renewal support, invoice validation, billing accuracy review, and vendor performance reporting.
  • Help ensure software asset data supports financial stewardship, risk management, audit readiness, vendor accountability, lifecycle planning, and operational decision-making.
  • Support CMDB alignment by improving data quality across employee, software entitlement, application ownership, vendor, lifecycle, contract, and access-relevant software records.
  • Monitor software asset trends to identify risks related to unmanaged applications, shadow IT, unused licenses, upcoming renewals, non-compliant software, and data quality gaps.
  • Partner with ITAM leadership and cross-functional teams to improve software governance, reporting accuracy, compliance confidence, and renewal planning.

Responsibility #4: Process Improvement, Automation, Technology Learning, and Team Collaboration — 15%

  • Provide meaningful contributions to team discussions related to software process improvement, operational strategy, technology adoption, asset governance, and future-state SAM modernization.
  • Identify opportunities to streamline software requests, approval, renewal, reclamation, reporting, compliance, and vendor governance workflows.
  • Support improvements to Jira, ITSM platforms, CMDB, reporting dashboards, software discovery tools, SaaS management tools, vendor reports, and future Software Asset Management platform capabilities.
  • Stay current with software asset management best practices, automation, AI-enabled tools, SaaS management trends, license optimization practices, CMDB practices, and emerging workplace technology.
  • Contribute ideas, documentation, standard operating procedures, knowledge articles, and peer support that advance continuous improvement across SAM operations.

Responsibility #5: Hardware Asset Management (HAM) Support — Onsite Reston, VA

The following HAM support tasks are performed at the Reston, VA office alongside this role's core SAM responsibilities above. They do not carry a separate percentage allocation against the SAM responsibility totals (which remain 100% as defined); rather, this is supplemental scope tied to the role's onsite HAM presence.

  • Maintain and govern accurate hardware asset records for laptops, mobile devices, peripherals, and monitors, including warranties, service agreements, assignment details, ownership, location, and lifecycle status.
  • Support hardware moves, refresh activities, shipping and receiving coordination, inventory reviews, audits, device recovery efforts, and special projects.
  • Coordinate with Procurement, vendors, Endpoint, Support Center, Workforce, and ITAM teams for hardware receiving, assignment, shipping, return, storage, and disposal.
  • Provide off-hours support as needed for hardware moves, refreshes, audits, urgent asset activities, recovery escalations, or special projects.
