Job description

This position coordinates the purchase of IT and AV equipment by working with customers, vendors, and internal teams to facilitate purchasing activities and obtain necessary approvals. Responsibilities include managing quotes, purchase orders, vendor onboarding, contracts, payment tracking, reporting, and processing orders through Liberty's buyLU purchasing system. The role also supports IT Operations with operational purchases, asset repairs, and end-of-fiscal-year purchasing coordination.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
  • Coordinate the purchase of IT and AV equipment, including obtaining customer approvals, processing purchase requests, and facilitating timely order fulfillment.
  • Work with vendors to obtain and update quotes, track shipments and deliveries, coordinate payments, and assist with onboarding new vendors into university purchasing systems.
  • Process purchase orders and related procurement activities utilizing Liberty University’s purchasing software (buyLU).
  • Manage and maintain purchasing documentation, contracts, reports, and records related to procurement activities.
  • Collaborate closely with IT Operations and other university departments to support operational purchases, equipment repairs, and technology-related procurement needs.
  • Assist with monitoring order status, resolving purchasing issues, and ensuring accurate communication between customers, vendors, and internal stakeholders.
  • Support end-of-fiscal-year purchasing activities, including coordinating deadlines, tracking outstanding orders, and assisting with budget-related procurement processes.
  • Create and maintain purchase-related reports, spreadsheets, and tracking documentation to support operational planning and financial visibility.
  • Ensure compliance with university purchasing policies, procedures, and vendor requirements throughout the procurement process.
  • Provide general administrative and operational support related to purchasing, vendor coordination, and technology procurement activities.
  • Strictly adheres to Liberty University policies, representing the University in an exemplary manner.
  • Works effectively as a team member, embracing and fostering LU's Christian model and Mission - Training Champions for Christ.

QUALIFICATIONS AND CREDENTIALS

Education and Experience Required: High school diploma or equivalent

  • Proficiency with Microsoft Office and Adobe applications 1-3 years of purchasing, procurement, administrative, or operational support experience
  • Associate's or bachelor's degree in Business or a related field, or currently pursuing a degree 1-3 years of experience supporting IT and/or AV technology environments
  • Experience working with vendors, quotes, contracts, and purchasing systems
  • Familiarity with procurement or ERP software platforms

PHYSICAL and Sensory Abilities

Regularly required to stand, walk, and climb stairs to move about the campus. Handle materials, reach overhead, kneel or stoop in order to conduct business. Regularly lift 10 or fewer pounds.

Work Environment The working environment in which one will typically perform the essential functions of this position is a climate-controlled setting. It is well lighted, and the noise level is moderate. Working environment may include facilitation of events outdoors occasionally.

Driving Requirements

If the employee is required to travel in performing the duties and responsibilities of the position, the use of one’s personal vehicle (or LU vehicles) may be required for travel. Proof of a valid driver’s license, an acceptable DMV record, LU Driving Approval, and liability insurance is required when driving in the performance of the employee’s position.

Pay Range Compensation

Compensation is determined based on factors such as qualifications, experience, education, skills, and certifications, along with University needs and external market conditions. Market benchmarks may be used, as appropriate, in combination with internal equity to ensure pay is fair and aligned with the broader compensation structure. The position may also be eligible for comprehensive benefits, including health insurance, retirement plans, and tuition assistance. $45,000.00 - $50,000.00
