We are looking for an IT Fleet Administration Analyst to manage the onboard IT crew, helps with workforce management, scheduling and movement of people/travel for the onboard crew. This position will be full-time and remote
What You'll Do
Scheduling and Staffing Coordination
Working together with the Workforce Planning team, Global Crew Readiness team, and the Manager Fleet Development and Administration, maintain and update staffing schedules for shipboard IT crew, ensuring timely coverage across all ships
Crew movement validation: Alignment with approved port turnaround days, black-out periods, and operational priorities
Coordinate large scale schedule updates for fleet changes, new builds, and special projects, working closely with project managers and other stakeholders
Actively monitor staffing gaps, escalating to the Manager to address hiring or promotion needs proactively
Data Analysis and Reporting
Gather and analyze staffing, scheduling, and onboarding data to identify trends, track progress, and provide actionable insights for process improvements
Audit schedules and system data (e.g., JD Edwards Enterprise One) to ensure alignment, submitting corrections as needed to maintain accuracy
Create reports, dashboards, and data summaries to support decision-making in staffing, training, and promotions
Administrative Support
Working together with the Global Talent Attraction team and Manager, coordinate candidate assessments, including scheduling technical evaluations and interviews, and ensure candidates remain informed throughout the recruitment process
Act as the primary contact for setting up training accounts and ensuring all new hires have the necessary IT Operational documentation and resources before their assignments
Track onboarding progress and provide regular updates to the Manager and other stakeholders, ensuring smooth integration of new hires into the fleet
Maintain organized records of training, certifications, and documentation for all crew members, ensuring compliance with company standards
Training and Development Support
Assist the Manager in implementing and tracking training programs for onboard IT teams, ensuring accurate reporting of course completion and compliance
Support the execution of coaching and development initiatives, including gathering and analyzing feedback to refine progression and training tools
Monitor and report on the professional development of onboard IT crew, including tracking performance and progression milestones

What You'll Need
Required:
Strong organizational skills with the ability to manage multiple priorities and meet deadlines
Experience in data collection, analysis, and reporting, with advanced proficiency in Excel, Power BI, and other reporting tools
Excellent communication skills, both written and verbal, with the ability to collaborate across diverse teams in the English language
Attention to detail and a commitment to data accuracy and integrity
Familiarity with HR systems, onboarding processes, or scheduling software is an asset
Discretion and professionalism in handling sensitive employee data
Preferred:
Bachelor’s degree in Business Administration, Data Analytics, Information Technology, or a related field preferred
Experience in a similar role within the maritime, hospitality, or travel industries
Knowledge of shipboard operations or prior experience in a cruise line environment
Exposure to project management or process improvement methodologies
Physical Demands
Ability to safely and successfully perform the essential job functions
Sedentary work that involves sitting or remaining stationary most of the time with occasional need to move around the office to attend meetings, etc.
Ability to conduct repetitive tasks on a computer, utilizing a mouse, keyboard, and monitor
