GMS Overview of Position

This position is responsible for greeting and assisting patients, family members, physicians, staff and other customers. Obtains and verifies demographic and clinical information pertaining to exam that is being scheduled. Tasks include scheduling IR procedures for CT, IR, US, Nuc Med, Fluoro, MRI, and Mammography while providing general information while promoting excellent customer service. Performs accurate high-quality liaison services, direction, and assistance.

ESSENTIAL DUTIES
  1. Determines the type of service the patient is to receive by reviewing physician orders on the EPIC WQ or via verbal request of physician’s office. Calls patients to schedule exams per requests in WQ.
  2. Coordinates schedules for the IR procedure requests among the radiologists, CT, IR, US, Nuc Med, FLuoro, MRI, and Mammography.
  3. Provides information/assistance to patients, family members and visitors regarding directions, parking, transportation service, overnight accommodations etc. to facilitate optimal customer experiences.
  4. Expedites detailed information to enable the responsible staff to respond to the patient/customer needs. Communicates with various ancillary departments to ensure smooth patient flow and high data integrity.
  5. Obtains signed, complete physician orders for tests and procedures from physicians/offices. Scans orders and other documentation (ID cards, insurance cards, etc.) into the patients EMR.
  6. Contacts proper department or physician office if cases require clarification of diagnosis and/or tests/procedures.
  7. Obtains radiologists approval for procedures ordered.
  8. Coordinates care with ordering physicians for same day requests along with financial clearance for authorizations.
  9. Completes patient information packets for nurses and physicians performing exams.
  10. Responsible for validating/obtaining and entering demographic and clinical into the patient scheduling system by interviewing the ordering physician’s office, patient and/or guarantor.
  11. Communication liaison between radiologists and ordering physicians.
  12. Answers and routes multiple telephone lines in a professional, friendly and timely manner.
  13. Maintains knowledge of system services, opportunities, programs and department locations.
  14. Receives cross training as necessary to provide relief support to other staff when needed, based upon the work schedule or workload to assist in the smooth deliver of department services.
  15. Maintains a working knowledge of applicable Federal, State, and local laws and regulations, as well as Genesis policies and procedures in order to ensure adherence in a manner that reflects honest, ethical, and professional behavior.
  16. Maintains knowledge of department policies and is attentive to patient special needs.
  17. Assists in department scorecard and data collection as requested by management.
  18. Other duties as needed and assigned by the manager.
QUALIFICATIONS
  1. High school diploma or equivalent required.
  2. Six (6) months experience working in a physician office, hospital or clinic environment.
  3. Excellent interpersonal, decision-making and problem-solving skills.
  4. Must be able to communicate clearly in speech and in writing and display excellent customer service.
  5. Demonstrates a pleasant, positive and caring attitude.
  6. Ability to focus on multiple tasks simultaneously.
  7. Excellent computer skills with knowledge in Microsoft Office.
