Position Summary

The Investment Operations Manager is responsible for overseeing the operational, reporting, treasury, and administrative functions that support the Foundation's investment portfolio. This position plays a critical role in maintaining the accuracy, integrity, and efficiency of investment operations across a diversified, multi-asset class endowment portfolio and other Foundation investments.

The Investment Operations Manager serves as a key liaison among the investment office, finance and accounting team, external investment managers, custodians, administrators, consultants, auditors, and tax advisors. The role supports the full investment lifecycle, including portfolio accounting support, cash management, capital activity, reporting, audit coordination, compliance documentation, and systems administration.

Primary Responsibilities
Investment Operations & Execution
  • Coordinate operational aspects of the investment portfolio, including capital calls, distributions, subscriptions, redemptions, transfers, and account openings.
  • Review and process investment documentation, agreements, notices, and transaction-related materials.
  • Maintain investment records and documentation throughout the investment lifecycle.
  • Coordinate with external managers, custodians, administrators, and finance staff to ensure timely and accurate transaction processing.
Investment Accounting & Reconciliation
  • Oversee reconciliation of holdings, transactions, and valuations across custodians, administrators, investment managers, and internal systems.
  • Support investment accounting processes, including month-end, quarter-end, and year-end reporting activities; annual investment audits and related information requests; and regulatory, tax, and compliance reporting activities as required.
  • Monitor capital activity, valuation updates, cash balances, and treasury transactions across the portfolio, ensuring all cash transactions are accurately recorded and reported.
  • Investigate and resolve accounting and reconciliation discrepancies.
  • Maintain strong controls over investment data quality and accuracy.
Reporting & Analytics
  • Prepare quarterly and ad hoc investment reports for management, committees, and the Board.
  • Assist with performance measurement, benchmark reporting, asset allocation monitoring, and risk reporting.
  • Support production of materials for Investment Committee meetings and strategic discussions.
  • Develop and maintain reporting tools, dashboards, and analytical resources.
  • Ensure consistency and accuracy across internal and external investment reporting.
Treasury Management
  • Maintain cash forecasts and liquidity analyses to support treasury management.
  • Monitor cash flows, liquidity needs, and cash balances to ensure timely funding of financial obligations and operating requirements. Overseeing transfers and reinvestments of excess cash.
  • Oversee other treasury-related functions as needed, including monitoring and reporting on debt covenant compliance, and related functions.
Vendor & Relationship Management
  • Serve as a primary operational contact for custodians, banks, fund administrators, consultants, auditors, and technology providers.
  • Monitor service provider performance and recommend enhancements when appropriate.
  • Coordinate information sharing among investment, accounting, legal, and finance stakeholders.
  • Assist with due diligence reviews and onboarding of new managers and service providers.
Process Improvement & Technology
  • Develop, document, and maintain investment operations procedures and workflows
  • Identify opportunities to improve efficiency, reduce operational risk, and enhance reporting capabilities.
  • Support implementation, optimization, and ongoing administration of investment technology platforms.
  • Assist with systems integration, automation, and data management initiatives.
  • Perform special projects and other duties as assigned.
