Job summary

W3Global in Plainview, NY is seeking a Pharmacy Inventory Manager to oversee stock control, returns and outdates, regulatory compliance with DEA and DSCSA, and to act as the liaison between store management, wholesalers, and pharmacy staff, ensuring accuracy and traceability of every shipment.

You will supervise inventory counts, implement procedures for raw materials and finished goods, support warehouse and direct store delivery processes, and mentor pharmacy technicians.

Qualifications

  • 2+ years of inventory control, logistics, or warehouse management experience.
  • Proficiency with inventory management systems (IMS) and ERP software (e.g., SAP, Oracle). Strong data entry and spreadsheet skills.
  • Ability to lift heavy objects, stand or walk for long periods, and work in varying warehouse environments.

Responsibilities

  • Monitor order levels for base and safety stock, ensuring high-turnover drugs and essentials are available.
  • Process manufacturer returns and credits for short-dated and expired medications.
  • Verify postings of pharmacy shipments and warehouse orders under pharmacist-in-charge supervision.
  • Maintain on-shelf availability and end-to-end processes for planogrammed departments including disposals and vendor returns.

Job description

Pharmacy Inventory Management
  • Stock Control: Monitor order levels for base and safety stock, ensuring high-turnover drugs and safety essentials are always available.
  • Returns & Outdates: Routinely pull short-dated and expired medications from shelves to process manufacturer returns and credits.
  • Regulatory Compliance: Adhere to strict DEA standards for controlled substances and Drug Supply Chain Security Act (DSCSA) requirements.
  • Training: Teach pharmacy technicians and retail staff best practices for inventory handling and computerized tracking systems.
  • Liaison: Act as the primary point of contact between store management, wholesale suppliers, and the pharmacy team
  • Inventory Control: Develop and enforce procedures for handling raw materials, work-in-progress, and finished goods. Ensure accurate labeling and storage.
  • Audits and Discrepancies: Perform routine cycle counts and comprehensive audits. Investigate root causes of missing or damaged items and reconcile errors.
  • Reordering and Replenishment: Monitor stock levels against purchasing demand. Alert management when reorder points are reached.
  • Reporting: Track key performance indicators (KPIs) like stock turnover and inventory accuracy. Generate compliance and metric reports for management.
  • Under the supervision of the pharmacist-in-charge, verifies all pharmacy shipments are posted for products physically received at the store. Completes or verifies postings of all pharmacy warehouse orders
  • Completes On-Shelf Availability (OSA) end-to-end process including warehouse and direct store delivery (DSD) for planogrammed departments, executing disposals, call-ins, and vendor returns before expiration, completes scan outs/ scan outs returns on all subscribed departments including vendor/ DSD departments and pharmacy scan outs.
  • Under the supervision of the pharmacist-in-charge, maintains accurate inventory counts and accuracy of on-hand quantities in pharmacy and completes pharmacy smart counts.
  • Assists in the maintenance of inventory records, including receiving and posting of all products (in the front-end)) received at the store in all inventory systems. Organizes files and retains all invoices/receipts/return authorizations necessary for all inventory activities.
Qualifications & Requirements
  • Experience: 2+ years of inventory control, logistics, or warehouse management experience. Small Business
  • Software Skills: Proficiency with inventory management systems (IMS) and Enterprise Resource Planning (ERP) software (e.g., SAP, Oracle). Strong data entry and spreadsheet skills.
  • Physical & Environmental Demands: Ability to lift heavy objects, stand or walk for long periods, and work in varying warehouse environments (including cold storage).
  • Soft Skills: Strong organizational, communication, and problem-solving skills. Ability to resolve disputes and collaborate cross-functionally with procurement and finance teams.
Basic Qualifications

Six months to a year of prior work experience with Pharmacy Inventory Operations.

Must be fluent in reading, writing, and speaking English.

Must have a willingness to work a flexible schedule, including evening and weekend hours as needed.

Demonstrated attention to detail and ability to multi task and manage execution.

Experience in identifying operational issues and recommending and implementing strategies to resolve problems.

Preferred Qualifications

Prefer previous experience as a shift lead, pharmacy technician, designated hitter, or customer service associate.

Prefer to have prior work experience with Pharmacy Inventory Operations.
