Job description

GENERAL SUMMARY:

Responsibilities include conducting cycle counts, overseeing office or distribution center (DC) inventories, handling product exchanges, processing merchandise returns, receiving and ordering product, reviewing various inventory reports, and managing stock levels while adhering to the established budget. Reports to the General Manager if operating out of a Supervision Center, and to the Manager of the DC for all inventory issues.

PRINCIPAL DUTIES AND RESPONSIBILITIES:
  1. Receives frames by verifying barcodes against manufacturer-supplied frame information and reconciling product received with invoice supplied by the distribution center. Places product in appropriate sections on the sales floor and keeps all collections kitted and cleaned.
  2. Maintains merchandised store showcases according to the Visual Merchandising Guidelines set by the Purchasing Department and obtains approval for any deviations from the store's set floor plan.
  3. Handles product exchanges from the distribution center by preparing selected merchandise on a Return Authorization to be sent back to vendors.
  4. Transfers product in the point of sale system, receives new product into POS, merchandises on the sales floor, and updates staff on product changes.
  5. Performs monthly manual cycle counts of all frame collections, researches variances, makes adjustments, and documents reasons for discrepancies.
  6. Supervises quarterly inventory of frames, accessories, and contact lenses, ensuring variance remains below 2%, and investigates causes of variances.
  7. Compiles and shares variance explanations with staff for education and coaching.
  8. Reviews inventory to maintain complete frame collections, manually orders missing frames not found on pending reports.
  9. Completes theft reports, notifies Loss Prevention, and tracks employee errors related to inventory variances.
  10. Processes defective frame returns, verifies quantities, and reports recurring defect issues.
  11. Handles frames returned by patients for refunds or reselects, verifying quantities and transferring products accordingly.
  12. Monitors remake reports to identify frames for return for credit and patterns needing staff training.
  13. Maintains accessory stock levels, reorders items as necessary, and assists staff with inputting eyeglass orders.
  14. Collaborates with HFO and third-party labs to resolve frame and order input issues.

Additional responsibilities specific to the Distribution Center include preparing and shipping replenishments, working with vendors on purchase orders, managing equipment and supplies, training staff on systems, and overseeing company-wide product exchanges and donations.

EDUCATION/EXPERIENCE REQUIRED:
  • High school diploma or GED required.
  • At least one year of experience in business, retail, optical, shipping/receiving, or inventory procedures.
  • Experience with Acuity Logic POS or similar systems preferred.
  • Optical experience with product knowledge preferred.
  • Ability to follow instructions, communicate effectively, and demonstrate basic computer proficiency.
CERTIFICATIONS/LICENSES:

None required. Must meet customer service standards outlined in HFHS' Customer Service Policy and participate in ongoing training.
