Description

The Inventory Specialist, under the direction of the Central Sterile Manager, works both independently and in collaboration with the OR, SPD, and Vendor(s). This is a highly visible role requiring communication and follow-through via in-person meetings, phone, and email. Flexibility and multitasking are essential to complete assignments timely.
Responsibilities
- Manage and maintain accurate inventory levels including instrumentation, special orders, and office supplies.
- Utilize Censitrac inventory management system reports for missing instrumentation and conduct physical inventory verification before ordering. Update tray lists in Censitrac as needed.
- Collaborate with OR/SPD and Vendor teams to reduce missing instrumentation from trays.
- Assist in financial modeling and forecasting for instrumentation inventory management.
- Receive, unpack, verify shipments, and replenish instrumentation, ensuring missing items are removed from the Missing Instrument List in Censitrac.
- Conduct in-services to staff on new instrumentation as needed.
- Prepare an Excel spreadsheet of instrumentation orders, specifying reasons, quantities, and receipt dates; distribute weekly.
- Communicate with OR and SPD teams regarding back orders or obsolete instrumentation; update tray lists accordingly.
- Follow up on back orders, suggest substitutions, and communicate ETA of instrumentation.
- Coordinate with repair vendors, tag trays, and inform OR/SPD of repairs or reorders for unrepairable instruments.
- Monitor and organize backup instrumentation cabinets to meet par levels daily/weekly.
- Assist in returning extra instruments to their respective cabinets daily.
- Streamline trays with OR/SPD teams to reduce unused instruments and peel pack usage.
- Ensure proper credit for mis-ordered instruments.
- Assist in tray assembly based on departmental demand.
- Attend weekly CST Leadership meetings to report instrumentation issues.
- Perform other duties as assigned.
Qualifications
Required:
- High School Diploma or equivalent
- IAHCSMM or CBSPD Certification
- 3+ years’ experience in OR instrumentation
- Good verbal and written communication skills
- Basic Computer Skills
- 10+ years’ experience in OR instrumentation
Preferred:
- Knowledge of aseptic techniques, sterilization, infection control, and workflow principles
- Previous inventory management experience in a hospital setting
